Purpose of Position

The purpose of this position is to perform a variety of secretarial and administrative support tasks under the direction of the Greene County Prosecutor and supervision of the Office Manager.

Essential Duties and Responsibilities

The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Duties and responsibilities may be changed, expanded, reduced, or deleted to meet the business needs of the County.

Be a team player who works positively and collaboratively with prosecutors, paralegals, advocates, and other staff to achieve the vision, mission and objectives of the Greene County Prosecutor’s Office.

Serves as a unit legal assistant for assigned attorneys. Assists attorneys by providing secretarial and administrative support.

Maintains confidential files and records.

Accurately documents case related activity with appropriate event entries in the case management system, including, but not limited to, reviewing and acting upon system generated reminders, calendaring events, and documenting routine case actions, receipt of fees, payments, and restitution.

Receives, reviews, and manages electronic case notifications from the Court: uploads, scans, documents, calendars, and refers to attorney for action as appropriate.

Maintains daily court calendars which includes: mirroring of court docket, timely preparation of subpoenas and electronic filing of required documents with the Circuit Clerk’s Office, and advising attorneys and victim witness advocates of court settings.

Communicates with victims and witnesses, schedules and calendars meetings and depositions, and provides notification of court appearances. Answers basic case related questions. Documents statements concerning charges, facts of the case, or defendant made during such contacts for review and potential disclosure by the attorney.

Manages, organizes, and maintains documents in electronic case management system.

Prepares and proofreads draft documents for Attorneys.

Electronically files documents for attorneys with the Court.

Runs and documents criminal histories and driving records of suspects/defendants.

Obtains records from government and nongovernment agencies and organizations.

Examines data and documents to ensure accuracy and completeness;

Handles incoming and outgoing telephone calls.

Returns telephone calls, e-mails, and correspondence in a timely manner (in most cases within one business day).

Interacts daily with other prosecutor’s office staff, courthouse personnel, law enforcement agencies, and members of the public.

Closes out cases in the case management system and completes commitment reports for Missouri Department of Corrections.

Arrives at work punctually and without unexcused absences.

Follows the directives and policies of the Greene County Prosecutor.

Performs other duties as assigned by the Prosecuting Attorney, Office Manager, Chief Assistant, First Assistant or assigned APA’s.

Additional Tasks and Responsibilities

While the following tasks are necessary for the work of the unit, they are not an essential part of the purpose of this position and may also be performed by other unit members.

Assists in training of other support staff; perform job duties of co-worker(s) in their absence or as required.

Assists and covers duties of other staff when needed.

Attends routine court hearings with attorneys entering a record of proceedings into case management system.

Minimum Training and Experience Required to Perform Essential Job Functions

High school diploma or equivalent, knowledge of basic criminal procedure and applicable ethical rules, ability to be MULES certified, vocational/technical training in office practices with two years secretarial experience, proficiency in word processing (Word) and office automation applications with a desired typing speed of 50 wpm, or any combination of education, experience, or on the job training that provides or can provide the equivalent knowledge, skills, and abilities.

Advise and provide interpretation regarding the application of policies, procedures, and standards to specific situations.

Communicate orally, in writing, and electronically with staff, attorneys, law enforcement, court personnel, and the general public.

Analyze and categorize data and information.

Mathematical Ability

Perform basic math skills.

Interpret basic statistical reports.

Judgment and Situational Reasoning Ability

Use logic, common sense, and sensible reasoning in performing job duties and addressing situations.

Exercise the judgment, decisiveness, and creativity required in the planning, preparation, and maintenance of a daily court calendar.

Detail oriented and excellent organization skills.

Ability to multitask.

Ability to manage substantial caseload.

Physical Requirements

Operate a variety of office equipment including computer, scanner, telephone, fax machine, calculator/adding machine and photocopier.

Coordinate eyes, hands, feet, and limbs in performing slightly-skilled movement such as computer keyboard use.

Ability to exert light physical effort in sedentary to light work, typically involving picking up, lifting, carrying, pushing, and pulling up to 50 pounds.

Environmental Adaptability

Ability to work under generally safe and comfortable conditions where exposure to environmental factors such as temperature variations or extremes, noise, machinery, and/or electrical currents may cause discomfort and poses little risk of injury.

Condition of Employment

Employee must pass a criminal background check and drug screen. Employee will be required to demonstrate continued knowledge of this position’s current regulations and requirements. Sustained satisfactory performance is required. Employee must meet the requirements of the full job description as stated throughout the duration of employment with Greene County. All employees are required to follow safety standards and wear all personal protective equipment in designated areas.
