POSITION OVERVIEW:
Primary facilitator of order processing, customer inquiries regarding orders, providing monthly sales reports, and liaison between departments to meet customer ship dates. Responsible for contacting customers, sales team members, or internal operation teams to obtain missing information or answer inquiries to ensure efficiency in the order to ship process.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:
- Process customer orders via online, email, phone, customer portals, EDI, or any other means customers communicate their demand.
- Check data accuracy in customer orders and invoices (including proper pricing)
- Issuing invoices and credits for returns from customers.
- Develop a knowledge of company products and service offerings through reading, or direct training.
- Maintain and update pricing per instructions of sales leadership.
- Perform basic customer service functions, like answering questions or responding to customer / sales inquiries.
- Coordinate shipments and logistics with DC’s and Manufacturing plants for non-standard LTL and other shipments
- Ship parcel and standard LTL shipments – using system tools to ensure proper carriers and cost.
- Compile sales reports and monitor sales efforts
- Report returns and maintain return records.
- Communicate with customers, sales and other company departments concerning orders and invoicing.
- DI customer orders are processed and communicated with demand planning / supply chain to link to PO with supplier.
- Any duty or responsibilities assigned by the direct leader or senior management.
- Update company records in ERP and databases where appropriate
- Manage Order delivery timeliness with demand planning / supply chain and logistics.
KPI’s or Key Goals to Measure Performance of Position (or others as defined by leadership)
- Percentage of forecasted sales invoiced.
- Number of invoice errors (invoice accuracy).
- Number of orders processed.
- Sales processed.
- Sales Order lines processed.
- Number of RMA’s processed.
MINIMUM QUALIFICATIONS:
- High School Diploma or Equiv.
- College Degree or Experience Preferred.
- 2 Years of Related Experience in customer service, sales, and/or sales administration.
- Excellent verbal and written skills.
- Strong organization skills and attention to detail.
- Advanced MS Office skills – especially with Excel.
