Job Summary / Purpose :

The Executive Assistant will provide high-level, autonomous support to Pastor Mike Patz within Greenhouse Church. This role requires a professional with strong emotional intelligence, exceptional relationship management skills, and acute attention to detail. The assistant will manage the dynamic and complex scheduling needs of an engaging Lead Pastor, ensuring that Pastor Mikes time is optimized to focus on high-priority, ministry-driven tasks.

The primary goal of this position is to significantly enhance Pastor Mikes productivity by handling day-to-day administrative responsibilities, freeing him to focus on strategic and leadership-focused priorities that only he can address. Successful candidates must be adaptable, resilient, and thrive in a fast-paced, constantly evolving environment. This individual will act as a strategic partner to Pastor Mike, anticipating needs, managing time-sensitive responsibilities, and ensuring seamless communication across the churchs leadership team.

This position will manage the calendar, coordinate administrative tasks, handle correspondence, and serve as the primary point of contact for the senior pastor's office, ensuring smooth operations and allowing the senior pastor to focus on their ministry duties by providing high-level administrative support; this often includes scheduling meetings, managing travel arrangements, preparing reports, and maintaining confidential information. The Executive Assistant will also be expected to provide comprehensive support to the Senior Pastor, assisting him in leading his life, his family, Greenhouse church, and the Greenhouse Movement. These five words direct his priorities : Abide. Souls. Disciples. Justice. Nations.

  • Understanding of Pastor Mike's Priorities : Familiar with Pastor Mikes core activities, such as personal time with God (2-3 hours / day), family connections, physical exercise, and ongoing learning (reading ~70 books / year).

Tasks and Responsibilities

  • Task Management :
  • Take ownership of Pastor Mikes to-do list, ensuring tasks that do not need his direct attention are handled appropriately.

  • Organize and prioritize tasks based on urgency and importance, ensuring Pastor Mike only focuses on high-level responsibilities.
  • Help track and keep Pastor Mike on schedule, ensuring no task or deadline is overlooked.
  • Inbox Management :
  • Oversee Pastor Mikes email inbox, filtering out irrelevant messages and handling requests such as meetings, events, and speaking engagements.

  • Develop and maintain an inbox management system, with a review process during weekly check-ins to refine expectations.
  • Create systems to ensure all necessary responses are made in a timely manner.
  • Calendar Management :
  • Oversee all scheduling and calendar management, ensuring no event or meeting is added or removed without prior approval.

  • Work with Pastor Mike to design an "ideal week" schedule, making adjustments as necessary.
  • Add detailed notes and reminders to each calendar event, ensuring Pastor Mike is fully prepared for every meeting.
  • Efficiently manage calendar by scheduling meetings, prayer times, counseling sessions, and other ministry-related activities. Prioritize and coordinate these events to ensure Pastor Mikes time is effectively managed.
  • Call Management : Field calls, inquiries, and general requests, ensuring they are routed to the appropriate staff or ministry departments for follow-up.
  • Data Gathering & Reporting :
  • Compile weekly metrics and reports for Pastor Mike to review, organizing data into easy-to-read formats.

  • Ensure that Pastor Mike has the necessary insights to make informed decisions.
  • Proactive Communication :
  • Ensure smooth and constant communication across all channels.

  • Hold weekly syncs with Pastor Mike to review upcoming tasks, deadlines, and projects.
  • Establish and maintain systems to redirect incoming communications to appropriate channels (e.g., emails, texts, social media).
  • Initiate a private channel for team communication, ensuring everyone is on the same page.
  • Maintain a weekly communication meeting with Ruth Patz (Pastor Mike's wife) to keep her informed about ongoing work.
  • Research :
  • Conduct research for upcoming messages, ensuring all information is fact-checked and accurate.

  • Provide credible sources and citations for materials used in Pastor Mikes work.
  • Financial & Administrative Support :
  • Manage receipts, reimbursements, and other administrative tasks.

  • Keep track of financial documents and other necessary paperwork.
  • Travel Planning :
  • Prepare any necessary documentation or meeting materials related to the travel, ensuring all logistics are covered in advance.

  • Coordinate travel arrangements, including hotel bookings, transportation, and scheduling.
  • Keep Ruth informed of all travel plans and provide options for flights, accommodations, and other logistical needs.
  • Create a one-page overview of the years travel, ensuring all major events are captured in one place.
  • Maintain trip files with essential information, such as hotel details, transportation, agenda, and emergency contacts.
  • Support for Visiting Leaders and Guests :
  • Assist / Coordinate travel and logistics for visiting pastors, missionaries, or church leaders, handling all necessary arrangements, including lodging, transport, and meeting schedules.

  • Social Media Management :
  • Oversee Pastor Mikes social media accounts, ensuring regular and consistent engagement.

  • Help Pastor Mike connect with his audience and share valuable content that aligns with his personal and professional values.
  • Cross-Department Collaboration :
  • Work closely with various church ministries and departments to coordinate meetings, ensure smooth communication, and facilitate workflows across the church community.

  • People-Centered Care :
  • Track important milestones and events in the lives of key staff and contacts, ensuring Pastor Mike never misses an important occasion (e.g., birthdays, anniversaries, etc.).

  • Help ensure that people feel valued and cared for, reinforcing Pastor Mikes commitment to loving and serving others well.
  • After-Hours Support : Be available outside of regular office hours to handle time-sensitive emails, update travel plans, or assist with urgent ministry tasks.
  • General Administration

  • Available to attend any meeting that the senior pastor attends
  • Assist in meeting preparation. Keep up with senior pastors and the churchs calendar. Discern when it is too full
  • Keep him on task with reminders
  • Keep the senior pastor on task in following through with decisions made in meetings.
  • Ask important questions. Help the senior pastor to clarify
  • Execute ideas
  • Handing things off to other pastors / staff as needed
  • Track expenses, credit cards, etc.
  • Able to travel with the senior pastor, when needed
  • Attend staff meetings
  • Able to give attention to details
  • Some event planning communications cohorts, Greenhouse Movement meetings, etc
  • Maintain the senior pastors office and make it presentable for meetings
  • Organize events when needed

    Physical demands :

  • Able to lift up to 40 pounds and move furniture
  • Travel required : As required by the Senior Pastor

    Time requirement : 40 hours weekly

    Required Schedule : Schedule will be set after communication with the Senior Pastor. Typical office staff work hours are Sunday - Thursday 8 : 00 am - 5 : 00 pm.

    Other Hours : As needed by Senior Pastor
