Job Overview
As a Property Manager, you will be responsible for the overall management and leasing of an 80-unit residential building in Kansas City, Missouri. This role involves working directly with the Regional Manager, corporate office, and maintenance staff to ensure the property's operations run smoothly, meet occupancy goals, and maintain financial stability.
This position does not oversee other employees but requires collaboration with corporate leadership, other team members and vendors to support leasing, financial performance, and property maintenance.
Key Responsibilities
Leasing & Occupancy Management
- Manage the leasing process, including marketing units, responding to inquiries, scheduling tours, screening applicants, and coordinating lease signings.
- Ensure a seamless move-in process for new tenants by assisting with applications and onboarding.
- Implement strategies to maximize occupancy, including lead follow-ups, tenant retention efforts, and promotional leasing initiatives.
Tenant Relations & Delinquency Management
- Work closely with tenants to address inquiries, resolve issues, and ensure high satisfaction and retention rates.
- Prepare tenant financial and delinquency reports, working with the Regional Manager and corporate office to manage payment plans and resolve outstanding balances.
- Oversee rent collection and non-payment cases, handling legal procedures in coordination with corporate.
- Manage lease renewals, ensuring timely communication with tenants.
Compliance & HUD Process Management
- Ensure compliance with HUD regulations, including Section 8 and Tenant Protection Vouchers (TPV).
- Oversee application, renewal, and compliance processes for affordable housing programs.
- Work closely with housing authorities and corporate compliance teams to meet regulatory requirements.
- Stay updated on Kansas City-specific housing laws to ensure full compliance.
Financial & Budget Management
- Monitor property financials, including rent collection, variance reports, and expense tracking.
- Work with the Regional Manager and corporate office to establish rental rates and maintain financial performance.
- Manage purchase orders and invoicing, ensuring timely payments and record accuracy.
Maintenance & Vendor Coordination
- Collaborate with maintenance staff to address property upkeep, schedule repairs, and ensure routine maintenance is completed.
- Work with vendors to obtain quotes for repairs and coordinate services within budget.
- Ensure that all maintenance and repairs align with corporate policies and resident expectations.
Compliance & Reporting
- Prepare monthly property performance reports, including occupancy, financial status, and maintenance updates, for the Regional Manager and corporate office.
- Ensure compliance with local, state, and federal housing regulations.
- Provide corporate with detailed updates on leasing and tenant-related matters.
Collaboration & Business Development
- Work closely with corporate leadership to implement business strategies that increase occupancy and retention.
- Assist in tenant outreach and engagement efforts, working with regional and corporate marketing teams.
- Identify opportunities to improve property operations and enhance the tenant experience.
Requirements & Qualifications
Experience & Education:
✔ 5-7 years of experience in Residential Property Management, with a focus on leasing, tenant relations, and financial management.
✔ High school diploma or equivalent (GED) required; a bachelor’s degree in real estate, business, or a related field is preferred but not mandatory.
Skills & Competencies:
✔ Strong communication, organization, and time management skills.
✔ Ability to collaborate effectively with corporate management, maintenance staff, and vendors.
✔ Proficiency in property management software (Yardi, Entrata, AppFolio, etc.) is a plus.
✔ Familiarity with Entrata Software is highly desirable.
✔ Knowledge of the Kansas City real estate market, including HUD programs (Section 8, TPV) and tenant laws.
✔ A proactive, problem-solving mindset with the ability to handle multiple responsibilities efficiently.
