Job Summary

Duties & Functions
- Business Licenses
- Coordinate business license purchases with various cities/counties where we do work.
- Taxes/Registrations/Insurance
- Ensure all trucks receive a new tax bill every year. If not, coordinate with the County Treasurer’s Office to have tax bills generated. Ensure all trucks/equipment have valid registration and insurance card. Coordinate with insurance company when new trucks/equipment are purchased to ensure proper coverage.
- Delivery of Materials
- Receive materials from various vendors. Unload materials when required with skid steer and validate orders. Once validated all pick tickets are sent to Tim Strunk.
- Water Permits for Hydroseeding
- Coordinate with various agencies to obtain permits for hydrant usage required for hydroseeding crews.
- Disseminate Daily Purchase Orders and SWPPP Inspection Reports
- Post new purchase orders to SharePoint daily. Forward daily SWPPP Inspections to Project/Operation Managers.
- Uniforms
- Coordinate purchase of uniforms and PPE for all personnel.
- Office Supplies/Materials
- Coordinate ordering/purchase of office supplies for all branches.
- Bills
- Forward any/all bills received daily to corporate.
- Facility Maintenance
- Coordinate repairs and maintenance of any issues that arise at all locations.
Qualifications & Standards
- High school diploma or equivalent
- Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
- Supply management and inventory control
- Excellent computer skills.
- Proficiency in Microsoft Office
- Data entry and management skills.
- Accurate record keeping
- Good written and verbal communication skills.
- Strong organizational skills with the ability to multi-task
- Attention to detail and problem-solving skills.
- Professional and courteous demeanor, excellent office, and phone etiquette.
- Excellent time management skills and the ability to prioritize work.
- Proactive approach to problem-solving and process improvement.
- Ability to work well independently and in collaboration with others.
