GreenSavers is a contractor focused on home energy efficiency in Portland and Central Oregon. Position Summary : As a Logistics Coordinator, you will work closely with the Logistics Manager to oversee all aspects of client communication, beginning with initial contact following the receipt of the down payment and continuing through the transition to a project manager after initial scheduling. Additionally, you will be responsible for managing the onboarding process, coordinating scheduling, and monitoring the progress of the Home Performance Plan, along with other tasks as required. You will be expected to consistently represent the GreenSavers brand, maintaining the highest standards of safety, professionalism, and customer service at all times.

Work Hours : 40 hours weekly, 7 : 30 am to 4 : 00 pm Monday through Friday
Pay Scale : $21 - $23 per hour depending on experience

Valid driver's license and insurable driving record.Exceptional verbal and written communication skills.At least a year of experience in the office setting.At least a year of scheduling experience is preferred.Strong attention to detail and accuracy.Proficiency in Microsoft Word, Excel, and CRM software.Experience with Google Suite, particularly Google Calendar.High level of professionalism, with a consistent focus on on-brand presentation and delivering excellent customer service.Ability to communicate effectively with diverse individuals both over the phone and via email.Demonstrated success in prioritizing and managing multiple responsibilities, consistently meeting deadlines without compromising contract integrity, team relationships, or customer service.Sound judgment and decision-making abilities, with a proactive approach to working independently and collaborating with team members when needed.Proven experience in data management, data entry, troubleshooting, and utilizing data technologies.Main Responsibilities :
Calendar Management : Oversee and maintain the production calendar to ensure it remains accurate, current, and organized, recognizing its critical role in operations.Spreadsheet Maintenance : Ensure the accuracy and timeliness of key internal spreadsheets, and facilitate prompt updates by colleagues.Client Coordination : Coordinate project scheduling with clients following receipt of their 50% deposit, ensuring smooth transitions to the production phase.Project Rescheduling : Manage project rescheduling and communicate any changes to clients in a clear and professional manner.Project Scheduling : Schedule projects across various teams (weatherization, seismic, window, HVAC), identifying required resources and assigning appropriate crew responsibilities.Subcontractor Management : Serve as the primary point of contact for subcontractors, coordinating schedules and managing ongoing relationships.Client Communication : Address client inquiries and concerns with professionalism and efficiency, escalating issues as necessary.Resource Identification : Assess and identify the resources required for each project to ensure timely and successful completion.Folder Management : Oversee the completion of signed folders in accordance with established checklists, following up with consultants as necessary to ensure compliance.Proposal Printing : Print proposals upon receipt of handoff emails from consultants, and generate necessary installation packets.Permit Assistance : Assist in the permitting process when required, ensuring all regulatory requirements are met.Procedure Improvement : Develop and implement new procedures, while refining existing ones, to enhance operational efficiency.Delay Management : Proactively communicate project delays to clients, collaborating with the project management team or personally reaching out if a project manager is unavailable.Pre-Construction Walk-Throughs : Schedule and coordinate pre-construction walk-throughs and end-of-project appointments, including technician test-outs when applicable.Phone Monitoring : Monitor production phone calls, directing inquiries to the appropriate team members as needed.Coordinator, dispatcher, HVAC Installation coordinator, office coordinator, administrative, office assistant
