As an Internal Project Coordinator, you will be expected to consistently uphold the GreenSavers brand, ensuring your team meets the highest standards of efficiency, safety, and professionalism.

GreenSavers is a contractor focused on home energy efficiency in Portland and Central Oregon. For multiple years in a row, the US EPA and DOE selected GreenSavers from 1,4500 contractors across the country as ENERGY STAR® Contractor of the Year. Position Summary : As an Internal Project Coordinator, you will support the Project Manager in the Bend office with the execution of projects and client communications, overseeing the process from initial deposit through to final payment. Your primary responsibility is to ensure an exceptional top-notch client experience, maintaining a high level of satisfaction throughout the project, while ensuring the timely and on-budget completion of all tasks.

Work Hours : 40 hours weekly, 8 am to 5 pm with 1 hour lunch break Monday to Friday.

Pay Scale : $23 - $26 per hour depending on experience

  • Required Qualifications :

  • Valid driver's license.
  • Ability to drive a box truck.
  • Exceptional verbal and written communication skills.
  • High level of professionalism, tact, and the ability to influence others effectively.
  • Strong conflict resolution capabilities, with the ability to manage and resolve challenging situations and client concerns in a positive manner.
  • Excellent organizational skills with the ability to prioritize multiple responsibilities. Proven track record of meeting deadlines without compromising contract objectives, team collaboration, or customer service standards.
  • Sound judgment and decision-making ability, with the capacity to work independently and seek team support when necessary.
  • Proficiency in Microsoft Word, Excel, and CRM software.
  • Ability to safely lift up to 50 lbs.
  • Desired Qualifications :

  • BPI certification or willingness to pass it within 6 months.
  • Proven experience in supporting the management of construction, HVAC, residential remodeling, window, or insulation crews.
  • Strong mechanical aptitude with a solid understanding of building systems and construction methodologies.
  • Main Responsibilities :

  • Conduct reminder calls to clients and stakeholders.
  • Distribute GreenSavers yard signs for project visibility.
  • Oversee and manage HVAC and Weatherization (WX) inventory, including :
  • Ordering supplies for HVAC and WX projects.

  • Tracking and staging equipment for upcoming projects.
  • Apply for and manage all necessary project permits, including minor label permits, ensuring timely inspections and addressing any failed inspections.
  • Coordinate and manage all Homeowners Association (HOA) requirements and responsibilities.
  • Process and track warranties for completed projects.
  • Coordinate incentive programs for team members and clients.
  • Regularly update weekly and monthly production reports, monitoring production metrics to ensure project timelines and goals are met.
  • Handle new employee documentation and onboarding processes.
  • Plan and organize Bend office celebrations and events.
  • Order and manage office supplies for the Bend location.
  • Process completed job packets and assist the Project Manager in preparing new work packets for crew leads.
  • Conduct quarterly inventory checks to ensure adequate stock levels.
  • Manage and complete other special or one-off projects as assigned.
