Position Overview
Greentown is seeking a highly motivated and organized Community and Events Coordinator to play a critical role in fostering a vibrant community and executing impactful events that showcase Greentown’s commitment to innovation and sustainability. This position is responsible for supporting the planning, promotion, and execution of a wide range of events, from large-scale conferences to intimate workshops, while also contributing to the overall startup member experience. The ideal candidate is a highly organized individual with a passion for events and community building, excellent communication skills, and a strong ability to collaborate effectively with diverse constituencies.
What You'll Do
Greentown staff generally operates on a hybrid schedule, with expectations to be on-site at Greentown locations in Somerville, MA or Houston, TX at least three days per week, with the option to work remotely two days per week. Our standard business hours are 9:00 a.m. - 5:30 p.m..

What You'll Do
- Community Communications and Support
- Administer onboarding and offboarding of member companies, ensuring a smooth transition in and out of the Greentown community.
- Assist in the administration and analysis of member data to improve member experience and delivery of resources.
- Support content creation and updates for the member intranet portal.
- Create and distribute weekly newsletters to keep members informed.
- Create graphics for event promotion using Canva or Illustrator.
- Support member check-in process, including scheduling and notetaking.
- Perform ongoing communications with members, including invitations to participate in private and public events, such as VIP tour groups, career fairs, and the Climatetech Summit.
- Programming and Event Coordination
- Support the planning, logistics, and execution of all events at Greentown Boston, including but not limited to member programming, external events, third-party events, and the incubator’s flagship annual event, Climatetech Summit.
- Support speaker coordination and logistics.
- Oversee post-event tasks, including attendee follow-up, video recordings, and debriefs.
- Support the management of Greentown’s events calendars to ensure strategic planning and scheduling for Boston events.
- Support the logistical planning and execution for smaller daytime events, including visitor tours, workshops, and lectures.
- Support on event-related digital efforts, including creating event descriptions, event registration pages, and attendee communications.
- Assist in tracking relevant event-related data, including attendance, feedback, and engagement.
- Track and maintain event supply inventory and equipment.
- Work closely with fellow events team members to streamline and innovate event processes and best practices.
- Administrative and Other Support
- Provide general support to the Marketing and Events team and Community team.
- Perform other duties as assigned.

- Event Planning and Execution
- 1-3 years of experience in event planning and execution, ideally in a fast-paced environment.
- Proven ability to plan and execute events from start to finish, including budgeting, logistics, vendor management, and attendee experience.
- Experience with corporate events, conferences, or community events is a plus.
- Marketing and Promotion
- Experience with marketing and promoting events, including creating marketing materials, drafting event descriptions, and tracking results.
- Community Building
- Ability to foster a welcoming and inclusive community environment, build relationships with members, and support their needs.
- Technical Skills
- Proficient in Microsoft Office Suite, Google Workspace, CRM systems (e.g., Salesforce), and design software (e.g., Canva, Illustrator).
- Experience with Asana or similar project management tools is a plus.

- Event-related Physical Demands:
- Moving event materials, supplies, and equipment (up to 25-50 lbs).
- Being present and available to assist attendees throughout an event. This may include periods of moving through the space during events, sometimes on uneven surfaces.
- Setting up and breaking down tables, chairs, signage, and other event elements. This may involve standing, bending, reaching, and crouching.
- Handling equipment, assembling displays, and occasionally operating tools.
- Travel: Occasional travel may be required to attend off-site events or conferences.
- Late Hours: Evening work required, typically one evening per week. While we aim for consistency, the specific evening and frequency may vary. Flexibility is provided to adjust your work schedule accordingly. Greentown works hard to limit any weekend commitments for its team, including event engagements.
