Dental and MedSpa Front Desk Coordinator
Job Overview: The Dental and MedSpa Front Desk Coordinator is responsible for providing exceptional customer service while managing the front desk operations of both a dental office and a medspa. This role involves scheduling appointments, verifying insurance, processing payments, managing patient/client records, and ensuring smooth operation between both services.
Key Responsibilities:
- Patient and Client Reception:
- Greet patients and clients as they arrive for both dental and medspa appointments.
- Check in clients and patients, verify personal information, and update records as needed.
- Provide information on available dental and medspa services, ensuring clients feel comfortable and informed.
- Appointment Scheduling & Management:
- Schedule appointments for both dental and medspa services, coordinating between multiple providers.
- Manage patient and client appointment confirmations and follow-ups.
- Ensure the appointment calendar is optimized for maximum efficiency, avoiding overlap or double-booking.
- Insurance Verification & Billing:
- Verify dental insurance and medspa payment options (e.g., credit, financing, and health insurance for qualifying treatments).
- Process insurance claims for dental procedures and handle inquiries about coverage.
- Assist clients with billing inquiries and payment arrangements for dental and medspa services.
- Customer Service:
- Handle patient and client inquiries, addressing concerns and providing information on services, procedures, and costs.
- Resolve any issues related to appointments, payments, or services in a friendly and professional manner.
- Maintain a welcoming, comfortable, and clean front desk area for both dental and medspa clients.
- Marketing and Promotions:
- Assist with marketing efforts, including promoting medspa specials, new dental services, and other offers.
- Educate clients about available packages and discounts for both dental and medspa services.
- Ensure that promotional materials are available and up-to-date.
- Patient/Client Records & Data Management:
- Maintain accurate and confidential records for both dental and medspa clients.
- Ensure compliance with HIPAA and privacy regulations for both medical and cosmetic treatments.
- Assist with patient/client intake forms, including medical history and consent forms for medspa services.
- General Office Support:
- Help with office supply management and inventory for both dental and medspa areas.
- Assist with daily office cleaning tasks, ensuring the front desk and waiting areas are tidy and professional.
- Collaborate with dental and medspa staff to ensure smooth operations and high-quality service delivery.
Required Skills and Qualifications:
- High school diploma or equivalent (Associate's degree or certification in office administration preferred).
- Previous experience in a dental office or medspa setting preferred.
- Well versed in Eaglesoft.
- Fast learner
- Strong communication, customer service, and organizational skills.
- Knowledge of dental and medspa terminology and services is a plus.
- Familiarity with office management software and scheduling tools (e.g., Microsoft Office, dental and spa software).
- Ability to multitask and manage both dental and medspa clients and appointments efficiently.
- Experience with insurance verification, claims processing, and billing is a plus.
Work Environment:
- A dual-purpose dental and medspa setting that requires the ability to adapt to both medical and cosmetic service needs.
