Position Summary
The AR/AP Specialist will play a critical role in maintaining the financial integrity of the company by assisting in both accounts receivable and accounts payable processes. The ideal candidate will have hands-on experience with QuickBooks, a strong attention to detail, and the ability to effectively handle multiple priorities in a fast-paced environment.
Key Responsibilities
Accounts Receivable (AR):
- Prepare, generate, and send invoices to customers.
- Track and manage incoming payments in compliance with financial policies and procedures.
- Reconcile accounts and resolve any discrepancies promptly.
- Communicate with clients and Project Managers regarding outstanding balances and follow up on collections.
- Generate AR aging reports and provide updates to management.
Accounts Payable (AP):
- Process vendor invoices and verify accuracy against purchase orders and contracts.
- Ensure timely and accurate payment of invoices, including checks, ACH, and wire transfers.
- Reconcile vendor statements and resolve discrepancies as needed.
- Maintain organized records of all payables and vendor communications.
General Accounting Support:
- Accurately enter and maintain financial data in QuickBooks.
- Assist with month-end and year-end close processes.
- Monitor and maintain accurate financial documentation and records for audits and compliance.
- Collaborate with team members and other departments to ensure seamless financial operations.
Qualifications
- Experience: Minimum of 2-3 years of combined experience in accounts receivable and accounts payable roles.
- Technical Skills: Proficiency in QuickBooks is required. Advanced Excel skills are a plus.
- Education: Associate’s or Bachelor’s degree in Accounting, Finance, or a related field preferred. Equivalent work experience will be considered.
- Attention to Detail: Ability to ensure accuracy in all financial tasks.
- Problem-Solving: Strong analytical and critical thinking skills to resolve financial discrepancies.
- Communication: Excellent verbal and written communication skills for internal and external interactions.
- Time Management: Proven ability to prioritize tasks and meet deadlines in a dynamic environment.
