The Grey Bears Director of Finance and Administration leads all finance operations as well as other administrative functions for a long-time, vibrant non-profit organization focused on improving the health and well-being of seniors and the Santa Cruz County community through food and meal distribution, volunteerism and resource conservation. The incumbent oversees staff assigned to various Finance Department operations, including bookkeeping, financial statements and reporting, accounting, budgeting, business planning and budgeting, human resources, and various other administrative functions.
The incumbent is a strategic thought-partner who reports to the executive director and plays a critical role as a member of the senior leadership team in strategic decision making and administration to maximize and strengthen the internal capacity of Grey Bears, a well-respected, high-impact organization.

Direct reports: Accounting Manager, Assistant Accounting Manager, Accounting Specialist
RESPONSIBILITIES
Financial management- 70%: Overseeing all financial accounting and reporting, including but not limited to payroll, accounts payable and receivable, purchasing, general ledger, fixed assets, bank reconciliation, revenue, monitor cashflow, cash and debt management, annual organizational budgeting process, prepare monthly, quarterly financial reports
- Accounting: Maintaining financial records, preparing financial statements, and ensuring compliance with accounting standards
- Audit and Compliance: Managing the annual audit process and ensuring compliance with internal controls
- Financial Management and Reporting: Monitor, interpret and present financial results, including monthly financial reports to the board of directors, finance committee and leadership team.
- Financial Controls: Create and maintain excellent financial controls, policies and procedures.
- Investment: Monitoring investment portfolio performance and meaningful participation in portfolio review meetings
- Payroll: Oversee bi-weekly payroll processing, ensuring accuracy and timeliness, including payroll liabilities, and benefits, including vacation and sick time accrual and 403b retirement plan.
- Grants Accounting: Support preparation of budget and other financial materials to support grant applications, monthly, quarterly and annual grant reports, audits
- Project Accounting: Support capital and other project fiscal oversight, including developing budgets, maintaining costs at prescribed levels, monthly, quarterly and annual reporting, audits
Administrative Functions- 30%: Oversee office operations, contracts for service that support administrative functions, support worker’s compensation insurance and benefits administration, coordinate with Operations Director regarding facilities and liability insurance
- Human resources: Under supervision and with support of the Executive Director, oversee contract with fractional human resources consultant to undertake Human Resources functions, including developing and maintaining personnel policies and procedures
- Information Technology: Ensure cost effective and timely Information Technology support, including but not limited to computers and related equipment, communications equipment, printing/copying, software that supports functional and efficient business operations
- Working with External Partners: Partners including board of directors, finance committee, program recipients, contractors, grantors, local business and nonprofit partners
- Other Duties as Assigned: As with all leadership roles in a mid-size nonprofit organization, the ability to be flexible and occasionally step in to cover indirectly-related duties is a must.
QUALIFICATIONS
- Bachelor’s degree or equivalent work experience and formal coursework/training to at least 7-10 years of overall professional experience; ideally six-plus years of broad financial and operations management experience
- Final responsibility for the quality and content of all financial data, reporting and audit coordination
- Ability to translate financial concepts to, and effectively collaborate with, programmatic and fundraising colleagues who do not necessarily have finance backgrounds
- Grants management, preparation and reporting
- Successful track record in setting priorities, keen analytic, organization and problem-solving skills that support and enable sound decision-making
- Technology savvy with experience selecting and overseeing software installations and managing relationships with software vendors; knowledge of accounting, payroll, HRIS and reporting software
- Seek and participate in training programs that maximize individual and organization goals across the organization including best practices in human resources activities
- Excellent communication and relationship building skills with an ability to prioritize, negotiate, and word with a variety of internal and external stakeholders
- Multi-task with the ability to wear many hats in a fast-paced environment

Physical Requirements:
- Able to lift and/or move 20 pounds on an occasional basis.
- Ability to perform essential physical job functions typically operating a computer keyboard, sitting or standing for long periods of time, reaching above shoulder level, stoop, crouch, and use fine finger movements with manual dexterity.
- Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, ability to view a computer screen, and the ability to adjust focus.
- Occasionally able to work outdoors.
- Must adhere to safety standards and wear appropriate equipment to include safety shoes, gloves, and other personal protective equipment as required.
