Grey Street Consulting, LLC (Grey Street), a leading small business provider of Acquisition operational support services to Federal civilian and defense agencies, is seeking to hire an Administrative Assistant to support our clients within the Department of Labor, Office of the Assistant Secretary for Administration and Management (OASAM).
DOL OASAM is located in NW Washington, DC. In addition, DOL has six regional locations throughout the United States and this position may report in Boston, MA, Philadelphia, PA, Atlanta, GA, Dallas, TX, Chicago, IL and San Francisco, CA. Candidates need to be agreeable to the possibility of the government returning staff on-site full-time.
Essential Duties and Responsibilities
- Manage Senior Management schedules prioritizing meetings, and appointments.
- Review outgoing correspondence to ensure it is properly formatted and prepared on official letterhead for proper distribution. Reviews shall be completed within 24 hours of assignment, or as otherwise instructed by the Contracting Officer's Representative (COR).
- Order and maintain supplies for office personnel, copiers, shredders, facsimile machines and other office equipment.
- Manage the file room, to include retrieving files upon request.
- Greet visitors and escort or direct them to the appropriate individual being visited.
- Manage, reserve, schedule, and setup conference rooms for personnel.
- Assist personnel in making preparations for meetings (i.e., making copies, compiling briefing books etc.).
- Arrange domestic / international travel and prepare travel vouchers in accordance with DOL's policies and regulations.
- Must be able to perform administrative functions such as manage senior management schedules prioritizing meetings, and appointments, arrange domestic / international travel and prepare travel vouchers in accordance with DOL policies and regulations.
- Must answer telephones, handle mail distribution, operate office equipment and keep note of office supplies inventory levels (Contractor Personnel shall notify the Government Point of Contact (POC) when office supplies are at the communicated level of depletion so that the POC can reorder supplies).
- Gathers, compiles, and verifies information and performs data entry.
- Must be able to take minutes / notes for senior management meetings.
- Reports to Contractor's Project Manager.
- Fully proficient in multiple competencies relevant to the job and work independently on complex tasks within established procedures associated with specific job functions.
- Capability of learning additional software that may be required for the position.
