Position Overview
Grey/Ven is looking for a skilled Events Coordinator to join our team for the Hamptons season. Working directly with the VP of Marketing Operations, you'll manage our premium events portfolio and key sponsorship relationships during one of the most high-profile social seasons on the East Coast.
This role requires someone who thrives in a fast-paced environment, combining strong logistical expertise with professional relationship management. You'll project manage all brand events including sponsored activations, influencer pop-ups, and fashion presentations, ensuring flawless execution while maintaining Grey/Ven's reputation for excellence.
Key Responsibilities
Event Planning & Coordination
- Assist the VP of Marketing Operations in planning, coordinating, and executing various events throughout the Hamptons season
- Manage event timelines, run-of-shows, and critical paths to ensure smooth execution
- Coordinate with vendors, venues, caterers, and entertainment
- Create and distribute event materials and communications
Sponsorship & Partnership Management
- Serve as a liaison between Grey/Ven and sponsorship partners
- Maintain regular communication with sponsors to ensure deliverables are met
- Track sponsorship fulfillment and provide regular status updates
- Assist the VP of Marketing Operations and Director of Partnerships with influencer events as needed
On-Site Event Support
- Manage on-site logistics and troubleshoot issues as they arise
- Coordinate staff and volunteer activities during events
- Oversee guest registration and VIP management
- Ensure brand standards are maintained throughout all event activations
Administrative Support & Team Communication
- Maintain comprehensive event documentation and file organization
- Process event-related invoices and track expenses
- Prepare post-event reports and analytics
- Communicate effectively with all Grey/Ven team members to ensure alignment on events
- Support cross-functional collaboration between Marketing Operations, Partnerships, and PR
Qualifications
- Bachelor's degree in Event Management, Marketing, Communications, or related field
- 2 years of experience in event coordination or similar role
- Strong organizational skills with exceptional attention to detail
- Excellent interpersonal and communication abilities
- Valid driver's license required

Location & Schedule
- Primary Location: Hamptons, NY
- Duration: Seasonal position (May through September) with opportunity to extend
