POSITION SUMMARY:

The Project Accountant is responsible for planning and administering various projects within GreyHawk Design and Fabrication to ensure they are completed in a timely fashion and within budget. The ideal candidate will have a strong background in accounting principles and practices, with a focus on project-based financial management. The Project Accountant will work with a team to plan and designate project resources, prepare budgets, monitor progress, and keep stakeholders informed on a regular basis. 


PRINCIPAL DUTIES AND RESPONSIBILITIES:


PROJECT MANAGEMENT

  • Determine and define project scope and objectives.
  • Predict resources needed to reach objectives and manage resources in an effective and efficient manner.
  • Prepare budget based on scope of work and resource requirements.
  • Track project costs in order to meet budget.
  • Develop and manage a detailed project schedule and work plan.
  • Communicate with stakeholders, including customers and vendors, regarding the status of projects, any adjustments that need to be made, and expected deliverables.
  • Utilize industry best practices, techniques, and standards throughout entire project execution.
  • Monitor progress and make adjustments as needed.
  • Measure project performance to identify areas for improvement.
  • Performing quality control on the project throughout the process to maintain the standards expected.
  • Manage warranty claims process.
  • Administer and offer continuous improvement with our online project management system that is used throughout the organization to track timelines and progress of all projects.


INVENTORY PLANNING

  • Oversee the inventory tracking system and conduct regular physical counts for optimized inventory control procedures.
  • Examine the levels of raw materials and supplies to determine shortages and needs.
  • Document daily shipments and deliveries to replenish inventory.
  • Work in collaboration with the accounting department to create and review reports for adjustments, inventory operations, and stock levels.
  • Properly order new supplies avoiding excessive surplus or inefficiencies.
  • Analyze various suppliers to ensure the company is receiving the best cost-effective deals.


ADMINISTRATIVE

  • Maintain good working records for time, parts, supplies, outside purchases, and complete project files.
  • Process sales orders, purchase orders, invoices, and other data entry/accounting activity for ongoing projects.
  • Prepare quotes for common stock machines.
  • Prepare and maintain general ledger accounting entries, including journal entries.
  • Manage accounts payable processes to ensure timely payments and accurate record-keeping.
  • Maintain accurate records of all project-related transactions and documentation.
  • Assist in the development of financial policies and procedures to enhance operational efficiency.
  • Achieve objectives through effective planning, setting goals, analyzing data on past projects, and projecting future performance.
  • Communicate with customers, vendors, and other employees in a professional manner.
  • Advance one’s own professional and technical knowledge by attending workshops and other educational trainings, participating in professional societies and industry networks, and reading professional and industry publications.


KNOWLEDGE, SKILLS, AND ABILITIES:

  • Associate or bachelor’s degree in business, accounting, project management, or another related field. Experience may be considered in lieu of degree.
  • The individual in this position should be personable, a problem solver, reliable, ethical, and able to adapt to all the forces around them – customers, suppliers, co-workers, etc.
  • Ability to operate in a fast-paced environment that requires multitasking while maintaining a high level of organization.
  • Superior problem-solving and communication skills.
  • Highly organized with strong attention to detail and accuracy.
  • Excellent customer service skills with a strong sense of commitment to the customer and the Company’s core principles.
  • Adaptable and flexible, with time management skills and ability to prioritize.
  • Helpful, positive attitude.
  • Consistent follow up and follow through.
  • Able to work with minimal supervision.
  • Knowledge and experience with heavy equipment, mining equipment, systems, engines, and components is desirable.
  • Competency in Microsoft applications including Word, Excel and Outlook, as well as project management platforms such as SmartSheet.
  • Experience with accounting software programs like Sage, Great Plains, Peachtree, etc.
