We are seeking an Executive Assistant/ Office Manager to join our team in the Ohama, Nebraska office. The Executive Assistant/Office Manager will perform multiple duties related to Greystone Housing Impact Investors LP (NYSE: GHI) in the Omaha, NE office. Responsibilities include support of GHI’s CEO, CFO, and the entire GHI Team (including remote workers) in ways that allow the team members to achieve their individual goals on a daily/monthly basis. The Executive Assistant will also be responsible for responding appropriately to incoming office calls as well as toll-free calls via the investor call line emails via our website.
Primary Duties and Responsibilities:
- Manage day-to-day needs of the Omaha office. This also includes working with the landlord and various outside vendors for office-related services and billing.
- Monitor calls into the GHI investor relations line and coordinate responses with GHI investor relations personnel. Includes coordinating with a tax service provider for investor calls and inquiries regarding Schedule K-1s.
- Coordinate legal document signatures, notary needs, and shipping of legal documents via courier and monitor tracking of shipments.
- Assist in coordinating and scheduling quarterly Board meetings and investor earnings calls.
- Assist executives, Board members, and employees with booking travel, accommodations, and rental vehicles via on-line booking system and assist in creating expense reimbursement.
- Assist with requesting and collecting regulatory questionnaires, certifications and acknowledgements.
- Submit and coordinate issuance of press releases via a service provider.
- Assist in maintaining the investor website and coordination with the website service provider.
- Assist in maintaining equity incentive plan accounts for employees and the Board, assist in submitting new awards to the transfer agent, and transferring vested shares.
- Act as GHI-Omaha representative for Greystone charity initiatives and attend monthly meetings. Provide opportunities to GHI team for donations from the allotted annual charity budget.
- Contribute to team environment by accomplishing tasks as requested by manager/supervisor/co‐workers.
- Represent GHI through proactive follow-through skills and practicing good judgment.
- Support technology needs for meetings.
- Perform all other duties and responsibilities as may be assigned.
Experience, Skills, and Abilities Required:
- 5 years of relevant experience.
- Proficiency with Microsoft Office Suite and Teams.
- Proficiency with DocuSign preferred.
- Strong interpersonal communication and written communication skills are required.
- Notary public preferred.
