Position Title: Assistant Property Manager
Reports to: Property Manager
Position Purpose
The primary responsibility is to provide support for the Property Manager in all aspects of property management.
Responsibilities
Tenant Services:
- Responsible for tenant move out and move in cycle.
- Maintains updated list of building access cards and parking passes for all tenants and staff.
- Ensures the tenants’ certificates of insurance are current.
- Collects rents and posts in AppFolio.
- Reviews backlog of rent and establishes plan to collect rent.
- Adjusts tenant ledgers in AppFolio.
- Provides a high level of customer service. Able to address tenant concerns and complaints in a calm and efficient manner.
- Administers tenant move-in and move-out surveys. Present feedback to the Property Manager as necessary.
- Responsible for lease renewal process. Includes sending out renewals, following up with residents, adjusting rent amounts and lease terms in Appfolio as needed.
Accounting Duties:
- Reviews rent schedule for accuracy on a monthly basis; applies cash receipts appropriately into AppFolio.
- Assists with the collection of income by understanding lease obligations and service reimbursements.
- Prepares invoices for utilities, taxes, service requests, and back-charges to tenants and vendors.
- Assists Property Manager with budget as needed.
- Maintains current information on delinquencies and advises Property Manager on events of default.
- Assists in preparing monthly and quarterly reports, stacking charts, and other utility tracking reports.
- Assists Property Manager in preparation of agendas for vendor, manager, and staff meetings.
Skills and Qualifications
- Strong competency with computers, including software such as Microsoft Outlook and Excel. Appfolio or other similar property management software experience is strongly preferred.
- Strong communication skills both verbal and written.
- Ability to work independently.
- Proven experience to handle pressure and meet deadlines, maintain a calm demeanor in high pressure situations, and ability to meet set deadlines.
- Ability to understand and interpret financial data and concepts.
- Willingness to assume additional responsibilities and demonstrate a positive attitude.
- Knowledge of Fair Housing Laws.
- 2-3 years of experience as an Assistant Property Manager, with a real estate company preferred.
- 2-3 years of experience with operations for multi-residential properties.
- Must have general real estate, lease administration, and analysis experience and understand the budgeting and tenant account reconciliation process.
- A valid driver’s license is required.
Education
- Minimum of Associate's degree in Business, Finance, or related field or equivalent years of experience.
