Overview
The Payroll/Benefits Specialist is responsible for the preparation, distribution, and documentation of payroll and related benefit deductions. This role oversees payroll, bonuses, and retirement investment systems while working closely with HR, Benefits, and Accounting departments to maintain accurate and up-to-date associate and financial records.
Responsibilities
Payroll
- Process biweekly payroll for all associates accurately and timely
- Audit timecards and prepare payroll batches including commissions, bonuses, reimbursements, and other payments as required
- Create and distribute payroll invoices for corporate and property locations
- Record corporate payroll transactions in the accounting system and maintain organized payroll files
- Ensure associate retirement records are current and accurate within the payroll system
- Upload retirement payroll files to the retirement platform each pay period
- Set up and process money transfers including ACH, wire, and book transfer files
- Administer the monthly bonus program and process bonus payments
- Collaborate with the HR department to ensure payroll system data remains accurate
- Coordinate with third-party payroll company to resolve system and associate-related issues
- Respond to payroll inquiries from management and associates in a timely manner
Benefits
- Manage invoice processing for benefits providers in coordination with the Benefits Manager
- Conduct biweekly reconciliation of benefit deductions on payroll registers
- Upload benefit deductions for payroll as needed
- Upload benefits files to providers as required
- Support the Benefits Manager with annual benefits enrollment audits
- Assist with the annual worker’s compensation audit and payroll estimation

Preferred Education and Experience
- Demonstrated commitment to valuing diversity and contributing to an inclusive work environment
- Bachelor’s Degree required
- 1-3 years of payroll experience preferred
- Strong mathematical and problem-solving skills
- Detail-oriented and self-motivated
- Ability to adapt to evolving regulations while maintaining high payroll standards
- Trustworthy with a strong sense of confidentiality
Other
- Excellent oral and written communication skills
- Provide prompt responses to payroll and benefits inquiries
- Ability to explain payroll processes to associates at all levels of the organization
- Proficiency in payroll software, ADP Workforce Now preferred
- Intermediate to advanced Microsoft Office skills (Word, Excel)
- Strong attention to detail with accurate data entry capabilities
