Administrative Support Specialist
Education & Experience Requirements:
- High School Diploma or equivalent.
- Minimum two (2) years of administrative support experience.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
Position Responsibilities:
Front Desk Support:
- Serve as the initial point of contact at the Executive Offices in Ybor City; answer central phone line and direct calls appropriately.
- Greet and assist visitors, employees, and the general public, answering general inquiries or referring them to the appropriate person or department.
- Maintain organized and accurate visitor sign-in/sign-out logs.
- Manage incoming and outgoing mail distribution efficiently.
Administrative Assistant Duties:
- Provide comprehensive administrative support to departmental staff as needed.
- Compose, type, and distribute meeting notes, confidential correspondence, forms, and moderately complex reports.
- Create, update, and maintain departmental forms, spreadsheets, and track important activities and deadlines.
- Generate reports and compile statistical data upon request.
- Maintain meticulous electronic and hard-copy filing systems.
- Independently identify and resolve routine problems within established guidelines.
- Attend public outreach events, training sessions, meetings, and interviews; document meeting minutes or notes as required.
- Schedule and confirm departmental meetings, appointments, and conferences.
- Arrange travel logistics for departmental staff and assist in preparing travel expense reports for reimbursement.
- Prepare, submit, and track purchase requisitions and internal departmental requests.
- Provide training and assistance to departmental staff on using office equipment and tools.
- Perform additional duties as assigned.
Background Checks:
- Standard Background Check, Social Security Verification, and Motor Vehicle Check required.

Pay: $19.00 - $20.40 per hour
