Our Firm:
Grippin Donlan Pinkham, located in South Burlington, is one of the largest CPA firms in Vermont offering a full service of accounting and consulting services. We are looking for a reliable, well organized Administrative Assistant. This position reports to the Office Manager and is responsible for the overall administrative tasks of the office, which include client support, and assisting Partners and Professional Staff with administrative tasks.
Job Summary:
This staff member works closely with both clients and other team members, and is responsible for professionally representing the firm in person, over the phone, and through electronic communications. They are the primary staff member responsible for assembling and delivering client tax returns, both electronically and in paper form. Additionally, they are tasked with collecting signed documents from clients, e-filing returns, and ensuring proper uploading of documents to the client’s file.
Responsibilities include:
- Tax season processes of pre-assembly, assembly, project tracking
- Electronic document filling and management
- E-file client tax returns and follow-up to ensure the filing was accepted
- Maintain and update client database as needed
- Assist clients with accessing the firm’s electronic portal, including troubleshooting issues
- Ability to cross-train and learn others’ administrative responsibilities to provide backup assistance as needed
- Answer phones and greet clients when they come into the firm
- General administrative duties including but not limited to filing, scanning, copying, faxing, cleaning, mailings, word processing
- Occasional trips to the local Post Office are sometimes required
Requirements:
We’re looking for a candidate who is proficient in computer programs such as Microsoft Outlook, Word, Excel, and Adobe, and can quickly learn new software. You should be detail-oriented, highly organized, and able to manage multiple tasks efficiently. Strong communication skills, proper grammar, and professionalism are key, especially when answering phones, directing calls, and interacting with both clients and staff. You’ll be trusted to handle sensitive information with the highest level of integrity, confidentiality, and security. Additionally, you should demonstrate a proactive approach and the ability to resolve issues effectively.
Additional Information
This is a full time, in office position. General office hours are 8:00 AM to 5:00 PM Monday through Friday. During tax season, typically January through April, and September and October, overtime and Saturday work may be required.

Pay: $19.50 - $21.50 per hour, depending on experience
