About the Job:
We are seeking a highly organized and experienced Law Firm Administrator/Legal Manager to manage and execute the day-to-day operations of our busy and dynamic practice. The ideal candidate will be a proactive problem-solver with excellent communication and leadership skills, and a proven track record of success in a similar role. This is an integral position within the firm, responsible for ensuring smooth and efficient operations, allowing our attorneys to focus on serving our clients.
Core Responsibilities Include:
- Office Management: Supervise, coordinate, and be the primary liaison for all office operations, including facilities management, supply purchasing, vendor management, and ensuring a safe and efficient work environment.
- Technology Management: Manage all relationships and requests related to the firm's IT infrastructure, including hardware, software, maintenance, data security, to ensure the firm's technology is up-to-date and effectively supports the company’s needs. This includes tasks related to on-boarding and off-boarding of any employees and regular report monitoring.
- Human Resources Management: Oversee recruitment, hiring, on-boarding, off-boarding and performance management for non-attorney staff, ensuring every team member has a clear role, responsibilities, job description and goals. Supervise the HR function to maintain compliance with state and federal regulations, implement personnel policies, and manage day to day or annual employee benefits, bonus, and retirement programs.
- Financial Operations Management: Manage all tasks and reporting related to client-facing financial operations including, billing, collections, pricing and IOLTA accounts. This also includes managing all business insurance or regulatory renewals. Partner closely with Bookkeeping to ensure alignment and coordination of all financials.
- Project Management/Change Management: Leads and/or supports various projects for the firm to ensure efficient implementation and clear communication to all employees of the changes. This includes projects related to marketing, process, or technology/software. Develop reporting and change management plans to communicate progress, risks, and successes.
- Administrative Support: Supervise and provide guidance to administrative staff, fostering a positive and productive work environment. Handle complex administrative tasks as needed.
- Marketing & Business Development: Contribute to the firm's marketing efforts, including website maintenance, social media presence, event planning, and client relationship management. Support business development initiatives as needed.
Experience and Education Qualifications:
- Bachelor's degree in Business Administration, Management, or a related field
- Successful prior experience as a Law Firm Administrator/ Legal Manager or in a similar office/operations management role within a professional services environment ( at least 3 years).
- Certified Legal Manager (CLM) and/or Project Management (PMP) certification is a plus
Skills Qualifications:
- Strong understanding of legal office operations, procedures, and terminology is preferred
- Experience using legal and business software is preferred
- Skilled in basic Microsoft applications (e.g. Word, Excel)
- Excellent communication (verbal and written), customer service, interpersonal, and leadership skills.
- Exceptional organization and time-management skills.
- Strong problem solving and end to end project management skills
- Ability to think strategically while focusing on execution.
- Ability to multi-task and work effectively in a fast-paced environment and demonstrate strong technical and analytical skills.
- Must maintain confidentiality and demonstrate good professional judgment.

Salary : $80,000 - $95,000
