About The Role
As a Medical Records Paralegal at GMKE, you are the backbone of every case, ensuring that attorneys have the critical records, summaries, and documentation needed to build a strong legal defense. As the backbone of case development, you will be responsible for requesting, tracking, summarizing, and organizing medical records, insurance files, and other key documents. With a keen eye for detail and an analytical mindset, you will uncover key medical information, highlight discrepancies, and prepare chronologies that provide attorneys with clear, concise insights—work that shapes the foundation of each case and allows us to defend our clients to the fullest extent.
Responsibilities
- Review attorneys' calendars weekly to identify upcoming depositions, mediations, and trials and ensure files are prepared
- Request variety of documents including medical, insurance, pharmacy, and other health-related non-party records
- Monitor non-party request timelines closely and follow up as needed to ensure timely receipt of documents
- Draft and file court documents, including Certificates of Service and Motions to Compel
- Summarize medical records and identify key details such as accident descriptions, injuries, pre-existing conditions, and inconsistencies
- Prepare medical timelines to provide attorneys a clear picture of treatment history
- Secure and coordinate medical expert witnesses by confirming authority with claims representatives, conducting conflict checks, and completing accompanying administrative tasks
- Communicate key findings to attorneys and adjust records requests based on new information
- Process invoices according to firm and carrier standards
- Update and maintain case management system with received records, invoices, and notes
- Organize certifications, imaging discs, and flash drives for use in trial preparation and expert reviews
- Ensure compliance with HIPAA regulations and firm policies for the handling of sensitive records
- Coordinate with opposing counsel regarding non-party records and shared document requests
- Meet a billable requirement of 30 hours per week or 1,550 annually
Qualifications
- Bachelor's degree or equivalent work experience
- Experience in a legal environment with exposure to non-party records preferred; plaintiff-side legal experience highly preferred
- Ability to quickly learn complex processes and terminology
- Naturally inquisitive with a strong sense of curiosity
- Exceptional attention to detail and organizational skills
- Excellent communication skills and professionalism for interacting with attorneys, providers, and external parties
- Resourcefulness and strong problem-solving ability
- Able to work efficiently in a fast-paced environment with shifting priorities
