We are seeking an organized and detail-oriented Office Manager to join our team and help streamline our operations.
Position Overview
As the Office Manager, you will play a key role in ensuring the efficient day-to-day operations of our office. You will support our leadership team and staff, manage administrative tasks, and contribute to the smooth functioning of our construction projects.
Key Responsibilities
- Office Administration: Oversee daily office operations, including managing supplies, equipment, and facilities. Coordinate personal tasks or errands for the CEO, as needed.
- Financial Coordination: Assist with budgeting, invoicing, and expense tracking. Process payroll and handle accounts payable/receivable in coordination with the owner and project managers.
- Communication: Act as a liaison between office staff, clients, and vendors. Ensure timely communication and maintain excellent relationships.
- Human Resources Support: Maintain employee records, coordinate onboarding processes, and assist with recruitment.
- Project Support: Organize and maintain project documentation, schedules, and contracts. Provide administrative support to project managers as needed.
- Compliance and Safety: Ensure compliance with company policies and regulatory requirements. Support the team in maintaining workplace safety protocols.
Qualifications
- Proven experience as an Office Manager or in a similar administrative role, preferably in the construction industry.
- Strong organizational and multitasking skills.
- Proficiency in office software (e.g., Microsoft Office Suite, project management tools).
- Basic understanding of financial processes, including invoicing and payroll. (QuickBooks knowledge is a plus)
- Excellent communication and interpersonal skills.
- Ability to handle sensitive information with confidentiality.
- High school diploma or equivalent required; an associate or bachelor’s degree in business administration or a related field is a plus.
