Established in 2015, following the merger of the Brattleboro Area Drop-In Center and Morningside Shelter, Groundworks is a dynamic organization committed to providing food, shelter and supportive services with dignity throughout the greater-Brattleboro area.

POSITION SUMMARY

The Facilities Coordinator at Groundworks Collaborative is responsible for overseeing the maintenance, cleanliness, and grounds management of the organization's key sites, including the Groundworks Drop-In Center and 81 Royal Road. Key duties include developing and implementing annual maintenance schedules, coordinating routine upkeep and repairs, and managing relationships with external contractors. The role also involves working closely with program staff to prevent damage to facilities, ensuring the availability of necessary cleaning supplies, and organizing volunteer initiatives for groundskeeping tasks. Additionally, the Facilities Coordinator is in charge of maintaining the organization's vehicles, ensuring regular servicing, and addressing any emergent repair needs.

This position requires a proactive approach, with responsibilities spanning asset management, project coordination, and event logistics. The coordinator is expected to handle repair requests efficiently, communicate effectively with staff about repair schedules, and work collaboratively to improve site conditions. Physical demands include climbing ladders, lifting up to 50 pounds, and navigating tight spaces. The ideal candidate should have at least five years of relevant experience, a valid driver's license, and the ability to work with minimal supervision in a busy environment. Light carpentry skills and certifications are also valued.

Responsibilities

Cleaning (25%)

  • Partner with Program Coordinators for the Drop-In Center and 81 Royal Road to ensure clean sites and grounds that are maintained.
  • Organize, lead and participate in regularly (weekly or more) cleaning of above sites in cooperation with program staff and selected client volunteers.
  • Ensure that speciality cleaning supplies (not ordinarily stocked by programs) and cleaning equipment is available.
  • Provide comprehensive janitorial services to the upstairs of 54 South Main & all of 60 South Main.

Routine & Preventive Maintenance (20%)

  • Monitor maintenance log and prioritize completion of tasks that impact program operations
  • Develop and monitor annual maintenance schedules for all sites.
  • Responsible for routine maintenance for building systems and assets by either completing independently or ensuring outside vendors are coordinated.
  • Addressing wear and tear issues on finishes and other visible surfaces including periodic interior painting, patching and addressing damaged fixtures.
  • Advise and support program staff in measures and practices that will prevent damage to building assets through appropriate use and care as well as provide support on loss prevention.

Repairs (20%)

  • Monitor repair requests log and provide initial assessment of repair in a timely fashion and either execute repair or arrange for contractors to provide service.
  • Provide clear communication to program managers and staff on when and how a repair request will be addressed and utilize their support if modifications in operations are needed.
  • Ensure that the Director of Operations is informed of costs and scheduling of repairs, seeking approval of repair budgets and timing when expected costs exceed $500.
  • When possible and appropriate, present to relevant management staff a range of repairs that balance cost effectiveness and quality of intervention.
  • While emergency repairs are rare, share responsibility with the Director of Operations and Assistant Executive Director to receive calls regarding urgent needs and provide troubleshooting or occasionally in-person service.
  • Maintain a list of contractors and develop excellent relationships with them to support prompt service.

Projects (10%)

  • In consultation with the Director of Operations and relevant program managers, identify, develop and propose projects for site improvements.
  • Provide budgets (time and materials) and timeframes for projects proposed.
  • Plan and coordinate with relevant staff site preparation for projects happening in occupied spaces, when applicable, provide safety information for affected parties.
  • Implement projects either through direct labor or through coordination of contractors.
  • Partner with relevant leadership staff in being the organizational liaison for contractors engaged in on-site projects.

Grounds (10%)

  • Ensure grounds are clean, orderly and well maintained. When needed identify and install appropriate plantings or other landscape features.
  • Partner with programs in regard to management and removal of litter, abandoned objects and non-operating vehicles.
  • Organize client and community volunteer initiatives for regular or seasonal groundskeeping related activities.
  • Coordinate with grounds contractors for their annual services (ie: plow and landscaping services).

Fleet Management (5%) (All company owned vehicles, All Programs)

  • Maintain service records of all company vehicles.
  • Ensure all vehicles get regular servicing and maintenance.
  • Coordinate vehicle repairs as necessary.
  • Partner with programs to ensure emergent issues are identified and vehicles are well looked after
  • Facilitate interior cleaning and detailing of vehicles as needed.

Asset Management (5%)

  • Partner with Director of Operations and Assistant Executive Director in regard to long term stewardship and planning for facility needs.
  • Attend Board Facilities Committee meetings as a staff representative.
  • Provide role-based perspective on projects or other activities that will bring new facilities into the coordinator’s areas of responsibility.

Other Duties (5%)

  • Provide logistical support for certain activities such as event logistics, transportation and client move-ins.

Desired Qualifications

  • A basic to intermediate level of experience in maintaining all building systems
  • Physical Requirements:
  • Prolonged periods standing and walking.
  • Must be physically able to climb ladders, bend, or crawl into awkward spaces.
  • Must be able to lift up to 50 pounds at a time.
  • At least five years of relevant experience
  • Have a valid driver's license and reliable vehicle. The Groundworks fleet does have a box truck and cargo van but for most day-to-day operations you will need to transport yourself, equipment and materials between sites. Mileage will be reimbursed at the current federal rate.
  • Ability to engage in new light carpentry projects (for example construct & install shelving) or install equipment is not required but appreciated.
