ASSISTANT OVERVIEW
We serve both our internal (our Partners, leadership, affiliated services, each other) and external customers (buyers, sellers, title, inspectors, appraisers, stagers, photographers, etc.). We are here so our Partners can be focused on their clients real estate needs. We strive to make this the easiest place to transact real estate and we love to make our Partners look good! The role of the Assistant is designed to support specific real estate tasks which elevate Partner (agent) productivity and help maintain compliance. The Assistant is a member of the Partners team, and they provide uniform services to all Partners assigned to them.

HOA Documentation Coordination
Auto Flow Coordination
Real Estate Review Preparation
ASSISTANT JOB REQUIREMENTS
1. Prepare and proof Listing Contract & associated disclosures
2. Order O & E, covenants and Plats
3. Prepare Purchase Contract
4. Process New listing
a. MLS input
b. Brochure/marketing orders
c. Counter display
d. Order measurements
e. Order photos & videos
f. Order yard sign and lockbox
g. Order home warranty
h. Order HOA report and documents from Association Online
i. Communicate property information for company tour
j. Create CorePath file
5. Prepare Amend Extends for listings (price changes, date extensions, etc.)
6. Order and prepare Auto Flow and other marketing material as requested, in
collaboration with Head Concierge
7. Finalize Off-the-Market/Expired/Withdrawn
8. Close properties/files in internal and external systems
9. Update record keeping
10.Ongoing CRM/database management
11. My Site or Real Scout set-up
12.Set up showings and create showing guides
13.Prepare marketing campaigns as requested
14.Real Estate Review preparation and fulfillment
15.Processing Closing Worksheet
16.Help other positions in the office when needed, including front desk coverage
17.Other duties as assigned

Interpersonal and organizational skills
Verbal and written communication skills
Time management and prioritization skills
Attention to detail and problem-solving skills
Strong technological skills, including experience with Microsoft Word and Google Workspace and ability to work within multiple technical platforms
Education and Requirements
Minimum of a high school diploma or GED required
Prior customer service experience required
Prior real estate experience preferred
Attendance at all staff meetings expected
