Position Summary:
The Office Manager is responsible for overseeing the day-to-day operations of the dental practice, ensuring smooth and efficient workflows, high-quality patient care, and effective staff management. This role includes scheduling, billing, financial collections, customer service, team leadership, and compliance with industry regulations. The Office Manager plays a key role in fostering a positive and professional work environment while implementing the Entrepreneurial Operating System (EOS) to drive continuous improvement and achieve the practice's goals.
Key Responsibilities:
- Operations Management: Oversee daily office functions, ensuring efficient patient flow, staffing, and resource allocation. Implement and monitor Standard Operating Procedures (SOPs) to optimize productivity and meet office goals.
- Staff Leadership & Development: Manage staff schedules, delegate tasks, and foster a positive work culture. Provide training, coaching, and performance feedback to ensure continuous staff growth and engagement.
- Financial Oversight: Manage billing, financial collections, and revenue cycle processes. Monitor accounts receivable, ensure timely insurance claims and payments, and assist in budgeting and cost management.
- Patient Relations & Service Excellence: Ensure exceptional patient service by maintaining a friendly and welcoming atmosphere. Address patient concerns promptly and seek feedback to enhance satisfaction. Promote positive patient reviews and engagement.
- Compliance & Risk Management: Ensure compliance with all legal and regulatory requirements, including OSHA and HIPAA. Conduct regular audits and safety checks to minimize risks and maintain a safe work environment.
- Communication & Collaboration: Maintain open communication with team members, Regional Managers, and HR. Collaborate on strategic initiatives and share updates during meetings to align operations with the practice's long-term goals.
- Continuous Improvement: Lead efforts to streamline office processes using EOS, ensuring alignment with the practice's vision and mission. Track progress on goals, identify obstacles, and drive solutions to improve efficiency and service delivery.
