This is a full time opportunity, Monday – Friday, schedule flexible with a start at 8 : 30am preferred.

Client Service / Administrative Specialist - Your Job Duties :

As the Client Service / Administrative Specialist, you will be the first point of contact with Firm clients and supporting back office administrative functions including general admin, supporting the CEO and client service.

Client Customer Service

  • Serve as the first point of contact with Firm clients that visit the office, send email inquiries and call in, providing customer service, answering their questions and providing support (ie : helping them log into their online client portal)
  • Assist with incoming email volume into the Firm including new client inquiries, existing client customer service matters and correspondence, client check ins
  • Assist in tracking and managing projects, deadlines and deliverables (i.e. requests for information, signatures on client documents and engagement letters, follow ups for information, collection requests)

CEO Support

  • Manage the CEO calendar – schedule and confirm appointments, time block for client projects
  • Summarize key information weekly (related to workflows, calendar, client updates)
  • Sales Enablement & Client Onboarding

  • Utilize the Firm's practice management software (Karbon) to follow the client onboarding workflow for all new clients
  • Send online tax organizers to clients
  • Scan client documents received in hard copy into electronic version
  • Other Administrative

  • Assist with marketing updates (ie : newsletters, social media posts, website marketing updates)
  • Maintain office operations including office supplies, mail, scanning, etc.

    Client Service / Administrative Specialist – You Bring (Required Skills, Experience & Team Fit)

  • You are experienced with calendar management, time blocking and strategically prioritizing crucial tasks
  • You enjoy being the “go to” for client requests, ensuring clients feel heard and receive a quick response and a positive customer service experience
  • You are a master pivoter and juggler, and able to operate in a high- volume environment some chaos (and bring order to the chaos!)
  • You are flexible with the ever-changing priorities of working in a small office / enjoy working in a small business
  • You possess the ability to independently troubleshoot and thrive with minimal oversight or resources- when issues arise, you find a solution
  • You are tech-savvy and enjoy learning new technologies / not daunted by technology

  • Prior experience working in a professional services environment (law firm, CPA firm, wealth advisory office)
  • Desire a growth path into a PMP certification / project manager or client account manager role

    You will work 100% in office in Roseville, California.

    Your compensation will be $30 to $34 per hour (or $62,000 to $71,000 on salary), depending on experience. Part-time option is available as well, or part time during the summer months and full time over the tax busy season, based on your unique needs and schedule.

    You will be provided with medical, dental and vision insurance package options, a 401k retirement plan with a company match for you, and additional insurance options (like pet insurance for your fur babies).

    Salary : $62,000 - $71,000
