The primary focus of the Funeral Home Administrative Support is to assists the Manager by planning, coordinating, streamlining, and directing daily workflow as required for the efficiency and effectiveness of Funeral Home operation.
Essential Responsibilities:
- Mainly responsible for EDRS processing and acquiring of Death Certificates (DC’s) and permits of final disposition within a timely manner.
- Responsible for completing and obtaining all necessary for final disposition.
- Accurately processes at-need contracts, addendums, vital statistics, and related forms; assess the validity of information.
- Responsible for managing data/information entered into our information system.
- Ability to compile and generate data for required reports; evaluate and manage the data and develop strategies for improvements.
- Maintains, verifies receipt of, and oversees inventory of merchandise, products, office and prep room supplies.
- Ensures that the coordination of the service arrangements are adequate, delivered on-time, and meet company customer service standards.
- Responsible for the collection.
- Responsible for Petty Cash processes.
- Manages cash and/or client payments; adheres to cash handling/collections policies and procedures. Cash handling is required for this position and complying with Policies and Procedures is mandatory.
- Interact and be attentive to clients/families funeral arrangement needs and requests; seek to establish comfort and understanding in a professional manner.
- Appropriately answer phone calls, gather and document necessary information from clients according to company protocol.
- Engage clients/families and promote on-site visits or a facility tour, and introduce participating staff.
- Processes at-need contracts and required legal forms accurately and thoroughly.
- Prepare and organize the arrangement room with proper forms, casket booklets, and other tools necessary for completion of the arrangement packet.
- May need to assist in the prep room for preparation and/or shipment confirmation of the decedent.
- Ensure that the prep room has necessary embalming supplies readily available.
- Adhere to company procedures, state and federal regulations concerning proper methods in the care of descendants.
- Ensure all necessary funeral service merchandise is ordered and received in a timely manner.
- Administer the retrieval of decedents cause of death information from physicians, hospitals, and/or involved institutions.
- May assist with providing Death Certificate (DC) to family, offer Legal Forms Program (social security, life insurance, and other benefits), inform family of annual memorial service, and grieving program for all at-need customers within two weeks after funeral services.
- May assist in coordinating times and dates of services with all Vendors and Staff to perform a professional funeral service providing information to/from: Airlines, Contacting the Churches for services, Removal services, Flower shop.
- May assists clients/families (walk-ins or over the phone) by providing adequate description or option of services, pricing, merchandise, programs, schedules, memorial items and all related funeral service costs or processes.
- May assist with composing personalized memorabilia: pictures, music, mementos, DVD’s, prayer cards, etc.
- May assist with ensuring proper video streaming, if any, or music is conducted during funeral services.
- May assist with extending quality of care by accompanying or meeting with the family at church or cemetery as needed.
- May need to complete administrative runs when needed or required by management; be able to use a personal vehicle.
- Responsible for maintaining personal timekeeping records and abiding by all timekeeping policies.
- Must follow strict safety protocol and procedures set forth by company safety programs and industry standards.
- Required to act as a back-up for Funeral Home Manager and/or Funeral Home Planner when needed.

Requirements & Qualifications:
- High School or GED equivalent required; Associates degree or bachelor’s degree preferred; Current students seeking to attain a degree in Mortuary Science welcomed.
- Previous experience within a funeral home preferred.
- Professional appearance including appropriate dress is required.
Certification/License:
- Employment is subject to Certification of Funeral Law and applicable licenses required; the company will provide certification within 2 months of employment.
- Must attain EDRS License within the first 30 days.
Safety/ Physical Capacities:
- Must be able to lift 50 lbs. or more.
- Must be able to stand, sit, lift, pull, push, and kneel for long periods of time.
- The physical environment requires the employee to work both inside and outside in heat/cold, wet/humid, and dry/arid conditions.
- This job operates in a professional environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and fax machines.
