POSITION TITLE: Office Manager

PREREQUISITES/REQUIREMENTS: College degree preferred. A minimum of five years’ experience as an Office Manager with working knowledge of overseeing an office for a medium size service company with branch offices and remote employees, experience with HR including health insurance benefit administration, recruiting and state and federal employment laws. Working knowledge of corporate policies and procedures. Must perform tasks with minimal instruction and demonstrate initiative and good judgment when performing tasks. Professional, excellent communication skills and attention to detail a must.
OVERALL JOB OBJECTIVE: Oversee and manage the administrative staff, ensure that the office is running smoothly and keep GSMC employees informed of the GSMC policies, procedures and benefits.
I. Report to: CEO, COO and CFO
II. Responsibilities:
- Conduct New Hire Orientation and explain all company policies and procedures including Health Insurance Benefits and 401(k) benefits. Process new hire paperwork and provide required forms to payroll department.
- Perform exit interviews and execute final paperwork for departing employees.
- Maintain electronic personnel records.
- Oversee the corporate administrative staff. Coordinate and lead the performance review process.
- Attend all Property Management meetings; take notes and distribute meeting minutes to all Property Management teams.
- Maintain list of current employees Real Estate licenses. Follow up with employees whose license is due to expire.
- Handle all employee relations issues and work towards an agreeable solution. Document entire process.
- Recruiting requirements including creating or amending job descriptions. Present potential candidates to Executive Team (CEO, COO & CFO). Coordinate Zoom interviews and prepare Employment offer letter.
- Responsible for opening bank accounts for new property bank trust accounts.
- Enroll new employees in Health Insurance online portal and Sexual Harassment training program.
- Responsible for coordinating insurance enrollment, changes to employees insurance coverage and coordinate annual insurance renewal with insurance broker and Executive team.
- Obtain and review annual bids and make recommendations for health, dental and vision insurance benefits.
- Review documents and oversee the AFLAC supplemental insurance and benefit account and coordinate Open Enrollment for supplemental insurance plans.
- Work closely with health insurance broker for Summary Plan Description (SPD) updates.
- Coordinate Annual Open Enrollment for Health Insurance benefits
- Process Worker’s Compensation claims, unemployment and leave of absence claims.
- Coordinate updates for GSMC Employee Handbook. Communicate changes to upper management and employees.
- Attend seminars to remain current and in compliance with new employee and insurance laws.
- Maintain required Federal and State Employment postings in all company locations.
- Perform other duties as assigned by management.

- Strong computer skills, must be proficient in Word, Excel and Outlook
- Excellent verbal and written communications and interpersonal skills
- Detail-oriented, and strong organizational and time management skills
- Ability to build and develop relationships
- Demonstrated ability to exercise initiative, independent judgment and be a self-starter who works with integrity while also being a strong team player
