Job Summary:

We are seeking a seasoned and hands-on Director of Facilities/Facilities Manager to direct the running of our facilities and create a safe and efficient work environment that improves business performance and optimizes staff productivity. Duties for the director of facilities will include directing facilities functions, implementing policies and safety procedures, engaging with vendors and contractors, minimizing hazards, preparing facilities budgets and monitoring expenditure, designing and planning workstations, coordinating remodeling and refurbishment initiatives, testing equipment, forecasting space needs, ensuring compliance with zoning laws across 6 facilities, coordinating equipment selection and relocation, and negotiating 3rd party vendor agreements. Your skills in managing facilities and directing facilities functions will assist our organization in creating efficient production capability, minimizing disruptions to overall business operations, improving working conditions, and creating a safe and comfortable environment for both production and office staff.

The incumbent is responsible for scheduling preventative maintenance on major systems, such as HVAC, plumbing, and electrical lines, while responding to breakdowns quickly. While vendor management is part of your job, you should however be comfortable working directly with all these disciplines as well. Experience with facilities maintenance, budget management, and safety compliance is crucial. You must have leadership experience to manage a staff of facility workers at three production plants spread across the country as well as supporting the corporate office.

The ideal candidate for this role should possess advanced communication skills, excellent organizational skills, broad knowledge of business functions, and project management experience. The director of facilities must understand the technical aspects of the property and all equipment, support day-to-day business operations, ensure efficient operation of facilities, mitigate risk, and ensure that facilities meet the needs of a rapidly growing business.

Primary Duties and Responsibilities:

  • Develops a strategic plan for the Facilities Department at each location consistent with the goals and objectives established by the VP of Operations
  • Develops and manages the annual budget for functional facilities areas and participate in monthly financial review for adherence
  • Develops, communicates and manages the Facilities Department policies and procedures
  • Supervises facilities staff responsible for 3 plants and is responsible for scheduling, development, performance and coaching.
  • Develops departmental action item plans designed to facilitate continual process improvement
  • Escalates internal Facilities issues to upper management for resolution
  • Manages day to day operations of the Facilities Department to include:
  • Routine / Scheduled Building, Grounds and Equipment maintenance
  • Project Maintenance and Emergency Response
  • Manages the Facilities KPI’s such as equipment downtime and project maintenance costs
  • Maintains a staffed Facilities Department, responsible for
  • Provides recommendations for purchases of new equipment.
  • Provides cost estimates in conjunction with equipment purchase & installation
  • Inspects equipment prior to purchase (Travel required)
  • Schedules, installs, moves, repairs, and removes or relocates equipment and utilities within the building
  • Keeps in compliance with and abreast of all OSHA and local regulations, and ensures annual fire and safety inspections are completed.
  • Ensures compliance with Environmental Regulatory regulations including
  • Maintain accurate records of equipment functioning status and other systems in building.
  • Inspects and performs maintenance on all equipment and facilities.
  • Ensures all facilities and equipment are ready for regular business and special events.
  • Maintains files of warranties, records, licenses, inspections, service agreements, and contracts for various pieces of equipment.
  • Maintains the inventory, storage, and distribution of equipment.
  • Oversee security of buildings and grounds
  • Monitoring the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, parking lots and outdoor spaces
  • Oversees and supervises the quality of work for other employees to ensure that all tasks are performed correctly, efficiently, and effectively.
  • Preparing facilities for changing weather conditions
  • Preparing and filing reports with government and regulatory authorities including environmental permitting.

Education and Experience:

  • Degree in facility management, business, engineering or related field
  • Minimum 5 years’ managing experience in a high-volume production related environment
  • Minimum 3 years’ supervisory experience in warehouse and facilities Management
  • Certifications in HVAC, Plumbing and/or Electrical desired
  • OSHA CSHO/30 hour/10 hour certification preferred
  • Multi-site experience desired
  • Have a valid driver’s license and ability to become forklift certified
  • High volume print production and warehousing operation experience preferred
  • CAD design and drafting proficiency a plus
  • Bi-lingual English Spanish desired

Qualifications, Skills, Abilities and Competencies:

  • Strong mechanical aptitude and a working knowledge of electrical and mechanical systems
  • Knowledge of installation and management of HVAC, plumbing and electrical services.
  • Excellent trouble shooting, diagnostic and problem-solving skills.
  • Familiar with local building codes by location as well as National Building Regulations.
  • Technical engineering skills with the ability to read plans and blueprints.
  • Establish team leadership and maintain positive working relationships with all departments.
  • Ensuring facilities are always clean including buildings and grounds.
  • Knowledge of OSHA and other environmental, health & safety regulations.
  • Ability to operate under pressure and deadlines.
  • Knowledge of general maintenance methods, operating requirements, and safety precautions related to facilities management
  • Advanced organization and project management skills
  • Detail and customer (internal and external) oriented self-starter
  • Strong procurement and negotiation skills
  • Basic understanding of or ability to quickly learn the equipment and facilities to be maintained.
  • Ability to maintain files, records and warranties.
  • Ability to understand written directions in manuals and on manufacturer websites.
  • Proficient with Microsoft Office Suite, advanced Excel knowledge, ability to quickly learn enterprise technologies.

  • Self-motivating and self-managing with a high degree of creativity and analytical ability

Physical demands:

  • Candidate must be able to commute within their metro area and travel in the United States as needed
  • Must be available for weekend work shifts & extended work hours
  • Travel required up to 25% of the time
  • Ability to lift a minimum of 50 lbs
  • Prolonged periods of standing, bending and lifting while working on projects.
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to access and navigate all areas of the facilities.
  • Must be able to access all parts of the company equipment.
  • PC/Keyboard: Position requires extensive work on computers, using keyboards and viewing monitor
  • Standing/walking: Being on foot either stationary or walking for most of the workday
  • Sitting: Remaining in the seated position for short periods of time
  • Lifting: Raising or lowering an object from one level to another (Includes upward pulling) of up to 40 lbs.

  • Depth Perception: Three-dimensional vision. Ability to judge distances and spatial relationships to see objects where and as they are
  • Ability to assist others to solve complex problems and coach/instruct them with solutions.
  • Be able to collect quantitative data to support proposed projects.
