What are the responsibilities and job description for the Loan Operations Manager position at Guaranty Bank & Trust Co?
Position Summary: Responsible for overall loan operations management and supervision of the loan operations staff. This includes processing, booking, servicing, accounting and reporting functions for the bank’s loan portfolio, which includes consumer, commercial, mortgage and participation transactions. Will design and administer processes and procedures to ensure accurate and timely processing. Responsible to lead, train and supervise the operations staff to ensure department meets organizational goals.
Reporting Relationship: Reports to President, Eric Collette.
Supervises: Loan Operations Department Personnel and Loan Assistants
Major Accountabilities:
- Interviewing, hiring and training employees; planning, assigning, and directing work; employee performance management; creating job descriptions and addressing complaints and resolving problems.
- Maintain and demonstrate proficiency with loan software applications (LaserPro, Director)
- Work with system providers to utilize applications to fullest capacity, streamlining processes and procedures, ensuring accuracy and compliance. Analyze, prepare and train for periodic updates to system software, and verify that enhancements are working correctly.
- Direct loan upload/booking process and verify procedures are written for all loan types.
- Successfully interact with operation staff to improve accuracy and efficiencies.
Specific Duties:
- Ensure proper segregation of duties, develop and maintain work flows for all stages of loan input.
- Assist Bank’s audit team on audit, exam and compliance issues pertaining to Loan Operations department.
- Stay current on compliance and regulations by attending seminars and reading available information. Ensure necessary changes or recommendations have been implemented as required.
- Participates in the review and recommendations of operational systems and procedures.
- Train Loan Operations employees and Loan Assistants on all job duties.
- Communicates with bank management to promote efficient and accurate work flow while also establishing positive working relationships.
- Loan Committee- attend meetings and complete minutes.
- Reviewing existing flood properties packages/policies and letters. Check dates of letters and policies as well as coverage amounts for adequate coverage.
- Report to the Sr. Lender Trainee and/or President, any loan officer that won’t correct an error or develops a consistent pattern of deviations/errors.
- Responsible for audit of loan operation activity and reviews daily reports for accuracy.
- To act as a check and balance in the lending function. This includes the authority to return any loan to the lending officer that does not comply with the minutes taken at the loan meeting or fall within the officer’s authority.
- Responsible for BSA as it pertains to Loan Operations including reporting suspicious activity.
- Review loan extension requests.
- Provide support with booking and processing loans within department – (this is the bulk of daily workload)
- Manage Paylocity for employees
- Assign and review required BAI training for employees
- Review, track, and report employees progress for bonus program.
- Conduct various assessments and audits to ensure department procedures are achieving accurate and desired results.
- Member of the loan project and loan procedure team with Loan Administrator, Lending Trainer, Sr. Lender Trainee, and President.
Loan Operation Department Duties:
- Provide administrative support as needed to other departments of the bank in accordance with established systems and procedures as needed.
- Provide (Monday reports), past due, and loans for maturity lists to Lenders weekly.
- Maintain appropriate files and records such as collateral, insurance, reinscriptions, etc. Responsible for filing documents in collateral folders.
- Maintain an exception list on all collateral files, supply each officer with a copy of his individual items, and follow up to ensure they are being corrected.
- Responsible for hazard insurance policies, flood insurance, escrows.
- Generate and review all loan documents for the lending staff, ensuring accurate documentation in order to minimize the banks risk. Review the documents against loan approval for accuracy and completeness.
- Ensure all credit and disclosure packages meet quality and regulatory standards.
- Respond to credit rating inquiries by phone and mail.
- Make credit life reports and file claims as needed. Make entries, balance account, & make checks if needed for loans with credit life coverage.
- Have mortgages and UCC’s re- inscribed and maintain a tickler system. Process DMV documentation to profiect the Bank’s lien position and monitor completion.
- Monitor and balance loans in process and ensure all loans are listed on the loan pipeline report.
- Pull all paid notes and collateral. Deliver to the customer the paid documents and get a receipt to document its transfer.
- Process all participation payments.
- Monitor and review loan printouts daily to ensure loans are booked properly. Check signatures, completeness of documents, and vouchers for missing documents, collateral and loan minutes for adherence to presentation.
- Review new loan Flood Packets and submit to compliance for approval
- Daily notices – print, sort, email, and mail out
- Provide (Monday reports), past due, and loans for maturity lists to Lenders weekly.
- Pull old insurance, reinscriptions, collateral documents no longer needed
- Scan in new collateral related documents
- Update navigator to show proper collateral position
- Review NEW participation documents, book the loan and make sure the loan is entered correctly on the system
- Verify and confirm legitimate reasons for reversing the late charges on the memo provided.
- Make the entries and scan into the folder for the loan
- Review cap lines of credit when the loans have forced placed insurance.
- Back up Insurance Clerk and process non-accrual payments when needed for vacations, & etc.
Work Environment
- This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands

This is a largely sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a step stool as necessary.
