Job Summary:
The transport Dispatch Coordinator provides the timely coordination and scheduling of pick-up and delivery to/from and customers through the managing of trucks, drivers, and customers. Maximizes the effectiveness of the company’s transportation network by planning and using strategies to lower costs, increase efficiency of the trucks and drivers and other logistic solutions and situations. Develops and sustains positive customer and driver relations by understanding and addressing their needs and requirements. The dispatching element of this position is very hands-on and requires keen attention to detail.
Essential Functions include but are not limited to the following:
  • Schedule the pickup, transport, and delivery of vehicles while receiving and making multiple calls; applying time management skills, staying organized and prioritizing the order of calls. Closely monitor transportation issues for delivery requirements in support of operational requirements.
  • Build loads in accordance with truck and equipment capacity.
  • Creates loads by consolidating orders according to customer needs and truck capacity, assigning drivers, and determining routes in a way that maximizes the efficiency of the fleet.
  • Conforms to timelines, demands, and shifting priorities by using problem solving and analytical skills.
  • Clearly and consciously completes order intake including customer, load, driver, and revenue information and accurately records that information in the system.
  • Anticipates, resolves, or removes potential obstacles that might impede the drivers timely pick up or delivery.
  • Records and follows up on any defects or damages on vehicle inspection reports and as reported by drivers.
  • Record, follow up and resolve any vehicle or load errors and/or discrepancies.
  • Provide ongoing communication, and positive interactions with the driver team. Manages driver performance by building relationships with drivers. Keep track of driver’s location, job status, and driver needs. Make sure that all policies, procedures and rules are followed, and reports are accurate.
  • Work with others in a close positive manner delivering excellent customer service, both externally and internally.
  • Adheres to company policies and work requirements.
  • Coordinate logistics with drivers, customers, carriers and other parties and always employ impeccable follow up skills.
  • Assist in driver interviewing, recruiting, and training.
  • In case of any emergency, report issues or concerns immediately following the company protocol.
  • May include other duties and functions as assigned by management
Knowledge, Skills, and Abilities:
  • Read, write and speak English to the extent that he/she is able to understand verbal and written instructions as well as able to give verbal and written instructions clearly so that they are understood by customers, drivers, and others.
  • Perform simple mathematical calculations using whole numbers, fractions, and decimals (addition, subtraction, division, and multiplication) to make job related calculations.
  • Think analytically and reason through problems and unforeseen situations.
  • Capacity to handle diverse customers and drivers, work under pressure, and handle stress effectively.
  • Adaptable and flexible; to operate calmly with poise during times of change.
  • A thorough working knowledge of transport trucks, equipment and terminologies.
  • A thorough working knowledge of the purpose, capability and limitations of the equipment associated with the position.
  • Advanced computer skills and knowledge of programs such as Microsoft Word, Outlook, excel and have excellent keyboarding skills.
  • Must have good organizational and time management skills.
  • Ability to coordinate work with other departments.
  • Must have enhanced customer service skills.
  • Must possess strong communicational and interpersonal skills (both written and verbal).
  • Strong Customer-service skills, efficient decision-making ability and willingness to work overtime.
  • React to project alterations and adjustments promptly and efficiently.
  • Ability to prioritize tasks and execute them in a high-pressure environment.
  • Ability to operate in flexible times of change.
  • Extreme patience dealing with difficult situations with flawless follow-up procedures.
Minimum Education and Qualifications:
  • High school diploma or equivalent
  • Be available for work on the weekends or holidays, as needed.
  • Proficient in Microsoft Outlook, Word, and Excel
  • Strong analytical, communication and interpersonal skills Strong problem solving and innovative skills
Physical Requirements
Ability to clearly communicate both orally and in writing on a telephone and on a computer for extended periods. Routinely requires sitting at a desk and viewing a display screen for extended periods. Ability to access, input, and retrieve information from a computer or other electronic device. Routinely requires moderate (up to 40 pounds) lifting and carrying. Routinely requires walking, standing, sitting, kneeling, stooping, reaching up, twisting, and bending. Good hearing and vision required.
