Guardian Medical is seeking a professional and dynamic Part-time Administrative Assistant to provide support to our management team with daily office tasks and general administrative activities. Currently, our need is 16 hours per week for an Assistant; however, we anticipate our need to become 40 hours per week (full-time) as our company continues to grow.

We are seeking an Part-time Administrative Assistant to work side-by-side with our management personnel to ensure efficient and smooth administrative processes. In this position, you will become an integral part of our team and will gain new skills and experience resulting in the opportunity to advance within our company.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Maintains documentation per ISO quality system requirements, both, physically and digitally
- Uses word processing and presentation software to create and edit professional documents and presentations to submit to customers, employees and/or management
- Inputs and updates information in databases and Excel spreadsheets
- Operates and maintains office equipment, including printers, copiers, and phone system and acts as liaison with IT service provider
- Orders and maintains routine items needed for office, kitchen, conference rooms, bathrooms, and other designated areas
- Answers phone calls and directs callers to appropriate personnel by maintaining awareness of company’s activities to address calls or questions effectively
- Greets visitors and clients at the door and assists accordingly
- Welcomes every caller or visitor as an important customer to Guardian
- Coordinates catering, travel arrangements, and logistics for meetings
- Assists with planning, coordinating, set up and tear down of work-sponsored activities
- Completes detailed tasks as assigned to assist in completing larger scale projects
- Provides marketing assistance by maintaining/preparing/shipping samples to potential customers and preparing samples for upcoming tradeshows
- Distributes mail, coordinates delivery of mail, signs for incoming packages
- Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
·QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and or ability required.
- Must be highly proficient in reading and speaking English
- High School diploma or equivalent (Required) / Some post-secondary schooling (Preferred)
- Previous experience with administrative duties or related experience required
- Knowledge and Experience with Microsoft Office, navigating the web, ordering products online, and database data entry
- Ability to read and comprehend written instructions and/or follow verbal directions in order to execute the necessary tasks independently to complete the assignment
- Ability to perform basic math problems including addition, subtraction, multiplication, and division
- Ability to format, proofread, type (45wpm), file, copy, scan
- Ability to handle multiple tasks simultaneously, work well under pressure and adapt to changing deadlines
- Must pay attention to detail and have time management and organizational skills
- Positive interpersonal skills, hospitable nature, and good-tempered are a MUST
- Ability to physically lift and move up to 20 lbs., walk for 25% of the shift, twist, turn, bend body; raise arms above head and manipulate smaller objects with fingers
- Willingness to present a positive and professional image for the organization through presentation and communication
