Responsibilities
Key Responsibilities
- Plan and manage all aspects of virtual, hybrid, and in-person events, from inception to completion, for both internal and external audiences, including sales conferences, employee engagement activities, and other corporate functions.
- Develop realistic and comprehensive event timelines and detailed Run of Show documents.
- Manage the conference/event proposal process, including budgeting and decision-making around attendance, sponsorship, invitations, and speaking engagements.
- Manage event logistics, including invitation lists, RSVP tracking, and communication with attendees.
- Research, select, and manage vendors (venues, catering, photographers, etc.), negotiating contracts and maintaining an updated vendor list. Vet external vendor contracts through Sourcing and Legal teams.
- Work with Compliance to ensure all external invitees are vetted and approved.
- Manage event budgets, track expenses, and reconcile invoices.
- Conduct site surveys and coordinate with onsite event personnel.
- Work with Administration, IT, and Premises to reserve event locations, secure necessary equipment (furniture, AV, IT), and coordinate catering.
- Utilize event management software (Cvent) to manage event communications, invitations, RSVPs, surveys, budgets, and event websites.
- Coordinate and set up webcasts and conference calls.
- Maintain a library of event recordings and photos.
- Maintain a calendar of national sales conferences and events.
- Work with the sales team to plan, budget, and track conference attendance and provide administrative/operational support.
- Coordinate meeting and tradeshow shipments and printing requests.
- Produce event evaluation summaries and recommendations.
- Manage post-event tasks, including invoice tracking, budget reconciliation, drafting post-mortem documents, attendee surveying, and closing out events.
- Provide event-related reporting and feedback to the Office of the President and other relevant stakeholders.
- Coordinate with Business Unit heads to curate invitation lists and design invitations.
Basic Qualifications
- 3 years experience in event operations/planning
- Undergraduate degree preferred
- Financial Services or Investment Management exposure preferred
- Client Services / Sales Support experience a plus
- Strong communication skills and ability to effectively work with vendors and clients
- Keen attention to detail
- Proficiency in Microsoft Office Suite and other common business software applications
- Strong interpersonal and organizational skills
- Ability to identify and solve problems
- Demonstrates persistence and willingness to take on unexpected work
- Willingness to travel when needed for event assistance
