Position Summary
Guggenheim Investments is seeking a Receptionist for our Santa Monica Office. The position will report to our Office Administration Manager and be part of a team responsible for the day-to-day administrative support of the Santa Monica office, and other offices as required. The team is responsible for managing guests, supplies, pantries, vendor invoices, and ad hoc needs of the business. The role will involve communicating with all levels of employees and clients and serves as the gate keeper for our Santa Monica office.
Responsibilities
Key Responsibilities
- Manage the primary day-to-day responsibilities of Reception
- Answer a multi-line telephone and give appropriate information to callers or route calls to appropriate party while demonstrating professional telephone etiquette.
- Manage multiple conference room and guest space calendars. The management of conference space requires detail-oriented correspondence with meeting organizers and other administrative staff.
- Provide administrative support to visiting senior leaders, guests including copying, scanning, faxing, drafting correspondence and assisting with travel arrangements as needed
- Order, stock and maintain all pantry snacks, beverages, machines, and storage closets
- Order, prepare, and clean up catering as necessary for client meetings.
- Prepare purchase orders for a variety of office supplies from multiple vendors. Keep accurate inventory of items needed.
- Order, track, and confirm receipt of messenger services and other mailings.
- Coordinate with administrative staff and premises department to maintain the appearance of the reception area, conference rooms, pantries, and restrooms.
- Assist with building IDs, guest badges and registration with building security
- Assist with the management of employee parking and visitor parking including requesting new spaces, releasing space and managing the parking validation process.
- Complete special projects for management as needed.

Salary Range
65,000.00 - $75,000.00
The base salary range represents the low and high end of the anticipated base salary range for this position. Actual base salaries may vary depending on factors such as location and experience. The range listed reflects base salary only, and the total compensation package may include other components such as incentive compensation.
