Summary/Objective
The primary responsibility of the Billing Assistant will be to support, coordinate and execute all processes related to invoicing transactions. This role works in the Headquarters of the company in the corporate accounting office which will provide the employee the opportunity to gain valuable hands‐on experience and maintain a key position on the corporate accounting team.
Job Duties
- Assist in coordinating the timely preparation, processing and mailing of pre‐bills and month end bills for multiple offices
- Set-up new cases and projects in Microsoft Dynamics Great Plains
- Partner with various employees across all offices to ensure accurate and timely issuance of bills to customers to enable prompt payment
- Receive and log in subcontractor invoices for entry in project accounting system and process through payables module
- Provide prompt follow‐up to any billing and invoicing inquiries
- Organize and maintain the billing files for multiple locations; other documentation thoroughly and accurately, in accordance with company policy and accepted accounting practice
- Assist Billing Manager and department members on various special projects that get assigned to the Accounting Team.
- Work with other department members on general accounting duties
- Ability to perform under strict deadlines
Required Education and Experience
- one to two years’ experience in billing or other related financial functions
- Associate’s degree in accounting or finance
Preferred Education and Experience
- Professional Services billing experience a strong plus (i.e. billing experience in a Law Firm, Accounting Firm, Architect Firm, Engineering Firm etc.)
- Preferred experience in Great Plains accounting software with an emphasis on the billing modules
- Preferred experience using Jovaco billing software or other billing software
- Intermediate to advanced skills in Microsoft 365 with a strong emphasis in Excel and MS Word
Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are generally Monday through Friday, 8:30 a.m. to 5 p.m. This position may require overtime on key dates during the monthly close or other times in which the department workload is at a high level.
