We are seeking a dedicated Client Services Coordinator to support our client teams in their daily operations. In this multifaceted role, you'll play a vital role in creating smooth and impactful experiences for everyone we serve by providing top-notch reception, phone, and concierge support.
As the first point of contact, the Client Services Coordinator will maintain a friendly and professional demeanor, demonstrating patience and the ability to stay calm under pressure. You will engage with clients (on campus and remotely) and graduates in a courteous and professional manner, ensuring a seamless and client-focused service experience. This role will handle a mix of tasks related to our graduate and client services, home training, and residential classes.
This position is onsite five days a week at our Campus in Yorktown Heights, NY
The Role
- Be the face of the organization - greet our Graduates, Donors, Volunteers and guests. Responsible for managing visitor access by allowing entry through the main gate, check-in visitors and vendors at the Front Desk, and notify the appropriate staff member(s) of their arrival.
- Handle incoming calls on multiple phone lines with courtesy and professionalism. Route calls to the appropriate departments or individuals, ensuring accurate message-taking when required. Address general inquiries and provide basic information about the organization.
- Manage data entry for all Residential and Home Training classes, and maintain student and graduate information using Salesforce and DocuSign.
- Prepare and distribute Residential and Home Training documentation in Braille and large print as needed.
- Create, distribute, and maintain a variety of letters, communications, and documents for students, graduates, and staff.
- Manage UPS/FedEx/Amazon or any other incoming packages; notify recipients of delivery.
- Package and ship guide dog equipment.
- Monitor mail room supplies and equipment, and arrange ordering as needed.
- Perform other duties and projects as assigned.
Qualifications You Will Need
- Minimum of three to five years Administrative experience.
- Exceptional interpersonal and problem-solving skills.
- Capable of interacting with Staff, Volunteers, clients, and the general public with poise, tact and diplomacy.
- Excellent organizational skills and keen attention to detail.
- Demonstrated ability to set priorities and multitask effectively.
- Excellent time management skills with a proven ability to meet deadlines.
- Strong work ethic and self-driven.
- Must demonstrate a consistently positive attitude, professional demeanor and appearance, along with a warm and welcoming presence.
- Reliability, high level of integrity, and punctuality are essential.
- Flexible collaborator willing to do what it takes to get the job done; adaptable and enjoys a challenge.
- Proficient in the use of Microsoft Office programs; Salesforce savvy a plus.
- Must be comfortable around large, active dogs.
Salary Range (annually) $52k - $58k
