Position Summary
The Housing Operations Coordinator is responsible for oversight of all logistical student housing processes at Guilford College. The College maintains an on-campus housing population of 650-850 traditional students, depending on enrollment, and enforces a 4-year residential requirement. The Coordinator is committed to the department’s mission of creating a safe, supportive, and engaged living-learning community that enhances students’ personal and academic success and supports the College’s core values in word and practice; and will work collaboratively with departmental and institutional partners to execute this mission. The Coordinator will serve as a resource to students of all backgrounds and will foster an environment of social support, personal autonomy, and community accountability through programs, policies, and interpersonal communication.
Responsibilities:
- Oversee all student housing selection, assignment, and billing processes; and off-campus release requests.
- Maintain and disseminate housing-related information and resources.
- Monitor student housing statuses and eligibility and work collaboratively on petitions for exceptions and/or removing students from on-campus housing.
- Learn and exercise technical savvy with housing software, acting as its superuser, and other applications. Ensure functionality in integrations with various campus systems, mobile and student interfaces. Maintain housing data and records.
- Oversee residence hall access privileges with physical keys and ID access levels.
- Handle initial inquiries and grievances for housing and meal plan-related issues, and process respective appeals through the proper channels.
- Oversee, with other ResEd&Housing and Facilities partners, the physical environments of the residence halls. Serve as the liaison and point of contact for facilities projects.
- Manage emergency reassignments or any temporary housing accommodations.
- Coordinate all processes and timelines for check-in and check-out, breaks, and closing.
- Create and distribute requested reports, projections, and program assessments.
- Continually examine/assess departmental processes, functions, policies, and practices and implement new/current methods and best practices to provide the best possible student experience.
- Be regularly present and available during office hours, monitor and respond to departmental email and voicemail, and engage in team meetings.
- Co-supervise front desk operations.
- Represent department and/or division at recruitment and new student events, such as open houses, orientation events, and other housing-related venues/forums.
- Participate on committees as appointed.
- Fulfill other duties as assigned by departmental leadership, understanding the nature of working in a small, collaborative department.
Minimum qualifications:
- Bachelor’s degree.
- Excellent communication skills.
- Exceptional attention to detail and organizational and time/task-management skills.
- Highly competent in computer software applications, ability to effectively utilize technology and learn new systems.
- Ability to work independently and collaboratively.
- Ability to effectively manage several complex, concurrent, and overlapping responsibilities.

Preferred qualifications and characteristics:
- Two years of professional experience in student housing management or residence life in higher education, database management, or other related field.
- Experience in customer service or responding to student grievances.
- Proficiency with student housing software programs and other workspace products such as Microsoft Office and Google Suite, academic software and content management systems.
- A keen and compassionate understanding of and interest in issues related to diversity, equity, and inclusion.
- Capability of, and comfort with, upholding and enforcing community standards and College policies.
- Motivation and specific interest in building and refining processes.
Typical business hours are Monday-Friday, 8am-5pm, with lunch. Some evening and weekend hours will be required. Must be able to walk stairs and maneuver through the campus residential areas and buildings.
