The Student Records Assistant supports the mission of the College by providing broad-based, general information and a variety of technical services related to student records, data integrity, and registration to students, faculty, staff, and the general public. In addition, the Student Records Assistant attends and participates in staff meetings, serves on teams and committees as assigned, attends training and professional development, and participates in projects.

The Student Records Assistant position requires an individual who maintains confidentiality and security of records; works well with minimal supervision; and maintains a thorough knowledge of institutional policy and procedures, curriculum programs, annual catalog, academic regulations, registration data systems, and graduation/degree requirements. This position serves as an integral part of the Records Office front-door team and provides superior customer service as s/he supports the goals and objectives of the Student Services Division. Fluency in English is required; the ability to communicate in Spanish highly desired. The Student Records Assistant reports to the Registrar.
Duties/Functions
- Serve as the initial point of contact and resource for in-person visitors to the Office of Student Records and answers questions relating to the office mission and operations. The Student Records assistant provides exceptional customer service to internal and external customers.
- Works directly with students regarding registration, graduation, grades, and other records-related inquiries.
- Assists in processing in-person and online requests and forms including demographic and biographic changes, course withdrawals, enrollment verifications, Change of Program, and transcript requests,
- Assists in archiving institutional data.
- Assists in routine institutional data cleanup
- Conducts herself/himself in a manner which is in keeping with the college philosophy respecting the worth and dignity of each individual, remaining aware at all times that s/he is possibly the first contact that the public may have with the college.
- Demonstrate and model the College’s employability skills: adaptability, communication, information processing, problem solving, responsibility and teamwork.
- During peak times there will be a high volume of call center and in-person customer service demands.
- Daily: students, staff, faculty, and general public.
- High School Diploma
- Associate Degree
- 1 year clerical experience
- Experience with data entry/processing
- Proficiency in MS Office products, e.g., Excel, Teams, Outlook, PowerPoint, Word, etc.
- Experience in a customer service environment
- 2 years’ experience in a college or university setting in an Admission, Advising, or Records Office
- Experience working in an educational customer service environment
- Experience with an integrated student information system, e.g., Ellucian Colleague or Banner
- Experience with data imaging software
- Proficiency/fluency in Spanish
- General knowledge and experience working with traditional, non-traditional, and multicultural post-secondary students
- Strong analytical and problem-solving skills
- Ability to identify problems and potential causes while developing and implementing action plans for solutions
- Ability to learn information and details related to enrollment, registration, and graduation at GTCC
- High levels of accuracy, confidentiality, and trustworthiness
- Strong written and oral communication abilities and human relations skills
- Excellent interpersonal skills in the areas of collaboration, team participation, creative problem-solving, and conflict resolution
- Above average typing skills required along with keen attention to detail and strong organizational skills
- Basic computer literacy
- Proficiency in MS Excel and Word at the introductory level
- Knowledge of higher education laws (e.g. Family Educational Rights and Privacy Act (FERPA), Title IX, etc.)
- Ability to work with minimal supervision
- Ability to communicate in Spanish
- Proficiency in MS Excel and Word at the intermediate level
- Ability to work posted job hours
