We are seeking a highly organized, proactive, and execution-driven Executive Assistant (EA) to support the CEO in business growth, strategic partnerships, and personal initiatives. This role requires exceptional project management, initiative, and problem-solving ability. The ideal candidate is a fast learner, takes ownership of tasks, and thrives in a fast-paced environment. This role is designed for someone who wants long-term career growth and has the potential to take on greater leadership responsibilities over time.
Responsibilities :
Business & Administrative Support
- Manage CEO’s calendar, schedule meetings, and prioritize key engagements.
- Oversee travel logistics, event coordination, and executive correspondence.
- Ensure CEO’s priorities are executed efficiently by maintaining a structured task and project management system.
- Handle key administrative and high-level operational tasks to streamline business functions.
Project & Strategic Support
Track and manage CEO’s involvement in multiple business initiatives (internal projects, strategic collaborations, and partnerships).Conduct in-depth research and provide data-driven insights to assist in decision-making.Ensure deadlines and key business objectives are met efficiently.Take ownership of key projects as assigned, ensuring smooth execution.Personal Brand & Thought Leadership Support
Manage and grow the CEO’s personal brand on LinkedIn & Instagram (potential expansion into YouTube).Proactively engage with the CEO’s audience, track engagement metrics, and refine strategy.Collaborate with the company’s Content & Community Manager as needed.Research and secure speaking engagements, podcast appearances, and industry features.Business Partnership Outreach & Relationship Management
Research and identify potential B2B partners, investors, and strategic collaborators.Conduct outreach, schedule meetings, and manage follow-ups to establish high-value connections.Assist in preparing business proposals, partnership decks, and strategic presentations.Maintain CRM tracking for business development efforts, ensuring proactive follow-ups and deal execution.Education & Personal Development Support
Assist in research, organization, and planning for confidential personal projects.Track important deadlines and manage key applications, submissions, and processes.Maintain discretion and handle sensitive information with confidentiality.Personal Health, Well-Being & Productivity Management
Act as a safeguard against burnout by ensuring the CEO stays physically and mentally functional amid extreme workload demands.Proactively manage meal planning, hydration, and wellness routines to maintain energy and focus.Schedule and enforce necessary breaks, sleep, and fitness routines, even when priorities seem overwhelming.Keep track of and remind the CEO of essential personal events (e.g., parents’ birthdays) to maintain crucial relationships.Anticipate and handle day-to-day needs to minimize decision fatigue and free up mental bandwidth for high-impact work.Ideal Candidate Profile :
Education : Bachelor’s degree preferred (Business, Communications, Marketing, or related field).Experience : 2-3 years in an Executive Assistant or similar role.Skills & Traits :Ultra-organized, high-execution, and thrives on structure.Proactive problem-solver who takes ownership of tasks and figures things out.Excellent communicator (both verbal & written), able to manage high-level business interactions.Strong grasp of personal branding.Comfortable in a fast-moving, high-accountability work environment.Must be based in Irvine / Santa Ana, CA, and able to work in person.Why This Role?
