Job Overview:
We are seeking a highly organized and detail-oriented individual to join our team as a Receptionist/Administrative Assistant. In this role, you will be responsible for providing excellent customer service, managing administrative tasks, and ensuring the smooth operation of our Mental Health office.
Responsibilities:
- Greet and welcome visitors in a professional and friendly manner
- Answer and direct phone calls, take messages, and provide information to callers
- Schedule appointments and maintain calendars for staff members
- Assist with event planning and coordination
- Perform general clerical duties, such as typing, filing, and data entry
- Handle incoming and outgoing mail and packages
- Provide customer support and address inquiries or concerns
- Maintain office supplies inventory and place orders as needed
- Assist with order entry and processing
- Manage incoming and outgoing medical records and scanning of all records
Skills:
- Previous experience as a receptionist or administrative assistant preferred
- Strong customer service skills with the ability to handle difficult situations professionally
- Excellent phone etiquette and communication skills
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to multitask and prioritize tasks effectively
- Attention to detail and accuracy in data entry and record keeping
- Knowledge of HIPAA Compliance/Requirements
