What are the responsibilities and job description for the Front Desk Clerk position at Gulf Coast Eye Institute?
Duties/Responsibilities:
· Screen potential and existing patients, by telephone and in person, to determine appropriate appointment time; alert physician of patients that require immediate attention.
· Schedule patient appointments following office protocols; 25 – 30 patients a day.
· Check patients in for appointments; verify insurance and demographic information at each visit, collect co-payments and patient balances.
· Copy insurance card and any other needed information
· Inform patients of delays or other situations that may result in a longer than normal wait.
· Describe policies and procedures for new and established patients.
· Check out patients after they've seen the physician; schedule return visit as needed.
· Scan demographics, insurance cards and reviewed/corrected encounter forms daily.
· Scan deposits daily, bank/post office as needed.
· Copy, scan and mail documents and forms as needed.
· Answer phones; take and relay messages; refer callers to other departments as needed.
· Maintain a current list of managed care plans accepted by the practice.
· Maintain a current phone list of often used numbers including emergency rooms, police and fire departments, social service agencies, hospital departments, physical and or occupational therapy agencies, home health agencies, nursing homes.
· Inform all patients of dates the office is closed.
· Keep the reception/waiting area clean at all times.
· Clean and maintain the front desk area.
· Attend and participate in staff and front desk meetings.
· Any duties or projects as assigned by the Front Desk Supervisor

· Ability to maintain strict confidentiality on all patient issues.

· Ability and desire to represent the clinic in a professional manner.
· Position requires sympathy, tact and understanding in dealing with patients, physicians, and coworkers.
· Ability to adjust to various personalities.
· Ability to work with and without supervision and perform a variety of routine tasks.
· Willingness to accept responsibility for established procedures.
Education and Experience:
· High school diploma or equivalent required.
· Knowledge of medical practice procedures and functions preferred.
· Previous experience with telephone systems and office equipment including copiers, fax machines and computers.
· Knowledge of medical terminology preferred, but not required.
· Good oral and written communication skills
· Ability to develop and maintain effective and professional working relationships with patients, medical staff, coworkers, and the public.
· Experience with filing, both alphabetically and numerically
· Ability to react calmly and effectively in emergency situations.
· Ability to interpret, adapt and apply guidelines and procedures.
Physical Requirements:
· Requires full range of body motion including lifting and carrying, manual and finger dexterity and eye-hand coordination. Requires standing, walking and sitting for extensive periods of time.
· Occasionally lifts and carries items weighing up to 50 lbs.
· Requires the ability to communicate clearly and effectively, verbally, and orally.
· Requires working under stressful conditions or working irregular hours.
· Requires a professional attitude to deal with patients with an unpleasant aspect of illness.
