II. Essential Functions
The Accounting Administrator is responsible for maintaining accurate records of accounts payable and receivable. Key duties include reconciling invoices, purchase orders, and expense reports; processing accounts payable checks; issuing member account payments; and resolving billing issues. The role also supports daily administrative and financial functions in the accounting department.
III. Daily, Weekly, and Monthly Responsibilities:
1) Review and post invoices to the appropriate vendor accounts in Jonas.
2) Compile and maintain credit applications for vendors.
3) Receive and verify new vendor packets, including W-9s and certificates of insurance.
4) Maintain and reconcile petty cash accounts.
5) Respond to member inquiries regarding monthly statements.
6) Process member credit card payments (daily and PAP), including updating card information.
7) Process member check payments in Jonas and the online banking system; send automated thank-you notes for payments.
8) Issue gift cards to members.
9) Process account adjustments for member accounts.
10) Review all chits and post End-of-Day (EOD) reports for all departments; collect EOD envelopes and batch credit cards.
11) Update the daily F&B report and weekly beverage vendor invoice report.
12) Receive, date-stamp, and distribute incoming vendor invoices.
13) Complete weekly accounts payable check runs, including cash requirement reports, check production, obtaining signatures, and mailing.
14) Review vendor statements monthly for outstanding balances.
15) Purge and reconcile redeemed gift cards and update tracking worksheet.
16) Distribute monthly member statements.
17) Prepare and reconcile year-end 1099 tax forms (including 1099-MISC, 1099-NEC, and 1099-B).
18) Maintain organized hard-copy files for paid invoices, vendor insurance certificates, EOD processing, and member payments.
19) Assist with additional projects or tasks assigned by the accounting department.

This position does not include supervisory responsibilities.
VI. Education and Experience Requirements
· High school diploma required; college coursework in Accounting or Bookkeeping preferred
· Experience in accounts payable and accounts receivable functions
· Experience with Jonas Club Software preferred
