Summary

We are looking for a Safety and Compliance Coordinator to be responsible for maintaining, monitoring, and coordinating all aspects of driver and vehicle safety compliance under Federal Motor Carrier Safety Administration (FMCSA) regulations as well as state regulations pertaining to private fleet safety. Will work closely with the Safety Manager implement and recommend improvements and/or modifications of process and policies for risk reduction, injury prevention, and safety and environmental regulatory compliance as well as DOT regulations.

Safety and Compliance Coordinator Essential Duties

  • Main core duties will be Driver Recruitment. Managing applications and company’s process for Driver employment.
  • Collaborates and coordinates with Safety department team by working closely with the Safety Manager to ensure goals and competencies of safety in the company are achieved including maintaining, addressing, and reporting on driver and vehicle compliance within the boundaries of company policy.
  • Reviews and monitors driver compliance with Hours of Service (HOS) regulations using the Electronic Logging Device (ELD) software.
  • Reviews and assigns monthly mandatory compliance training videos and driver violation compliance training videos as directed by the Safety Manager using the driver portal, including providing software navigation assistance to drivers as needed. Provides periodic reports on training video assignments to the Safety Manager
  • Provides after hour ELD and tablet support by accepting phone calls and positively communicating with drivers as needed, including arranging ELD provider service requests.
  • Performs installation and replacement of ELD devices in vehicles as needed.
  • Reviews and monitors daily dual-sided camera alerts and reports driver safety-related issues to the Safety Manager in a timely manner.
  • Monitors Driver and Vehicle Inspection Reports (DVIR Pre/Post Trips) by coordinating with the Maintenance department to ensure all vehicle repairs are completed as necessary.
  • Assists in the creation and maintenance of Driver Qualification (DQ) files by entering data and compiling valid records, including but not limited to Commercial Driver License (CDL), Federal Medical Certificates, performing applicant background and MVR checks, and coordinating the medical physical and Drug & Alcohol screenings as required by Company and Federal Motor Carrier Safety Regulations.
  • Assists in reviewing and monitoring driver online job postings and candidate applications. Assists safety department New Hire Orientations by creating online Driver profile access, preparing Orientation packets, preparing ELD equipment, and submitting uniform orders.

Education and License

  • Must have a high school diploma or equivalent.
  • Associate degree in Business, Safety, or Management preferred.
  • Must have a current Texas driver's license and a satisfactory driving record.

Experience

  • Must have at least two (2) years of transportation and/or driver safety-related experience.
  • Must have at least two (2) years of experience in SAMSARA Driver ELD or related ELD providers, preferred.

Skills

Must have the following skills and/or abilities:

  • Solid working knowledge in DOT compliance with audits, hours-of-service rules, hazmat, licensing, and permitting as well as OSHA safety guidelines and FMCSA regulations applicable to the work.
  • Exceptional attention to detail and to focus on a specific task and thinking through and attending to all of the critical details.
  • Excellent collaboration skills when working with supervisor and other team members on a joint objective. Examples include communication, open-mindedness, and conflict resolution.
  • Proficient organization, planning, and time management skills in order to set priorities and meet assigned deadlines.
  • Proficient communication (both written and verbal), presentation skills, and an ability to explain safety and compliance concepts to others in unrelated disciplines.
  • Project a courteous, professional, and positive approach with clients, contractors, employees, and authorizing agencies while providing prompt, efficient, and accurate assistance.
  • Proficient in Microsoft Office software and standard industry routing software.
  • Strong knowledge of laptop, notepad, or other computer devices used with transportation-related work activities.

Physical Requirements

  • Sit for 4-8 hours within a given day while performing essential duties.
  • Constantly uses fingers and hands when dialing/answering the phone and operating a computer or other office machineries, such as a calculator, copy machine, and computer printer.
  • Occasionally lift or move up to 25 pounds with or without assistance.
  • Ability to hear average or normal conversations and receive ordinary information through verbal communication in person or over the telephone.
  • Average, ordinary visual acuity necessary to prepare or inspect documents; operate a computer or other office machinery and detect objects in and around the office.
  • Occasionally moves about, pushing/pulling, climbing, stooping, kneeling, standing, and/or ascending/descending stairs to gather or deliver documents; access office machinery (copy machine, computer printer, and the like); attend training sessions; meet with co-workers; and/or perform related duties.

Working Conditions

The majority of work is performed in an office atmosphere located inside a building with no hazardous or significantly unpleasant conditions. May require infrequent warehouse or storage yard visits in outdoor weather conditions with exposure to extreme cold, heat, and noise depending upon truck activity. May travel locally during the workday.
