Business Office/Accounting Assistant
Gulf Stream School, a co-ed PK-8 independent school of 275 students, is seeking a Business Office Assistant whose central responsibility it is to manage Accounts Payable and Accounts Receivable, which involves working with colleagues, families and outside vendors to ensure timely payment and recording of the School’s expenses and revenues.
This individual will be an ethical and collaborative professional with a team approach to problem-solving and will have the proven communication and planning skills necessary to collaborate productively with the community. This position reports directly to the Controller and ultimately to the CFO.
This is a 12 month full-time, on-site position with full benefits including retirement match and 100% paid health care premiums and vacation. Hours are 7:50 am-4:30 pm Monday-Friday when school is in session. This position would begin on or around June 23, 2025.
- Works with Controller on all accounting functions relating to accounts payable and receivable activities including journal entries, reconciliation of general ledger accounts, and preparation of accounting schedules as required for external audits.
- Process vendor invoices, verify accuracy and completeness, and obtain necessary approvals.
- Enter and post AP transactions to the General Ledger using Blackbaud Financial Edge NXT
- Enter student billing information in Blackbaud Tuition Management
- Coordinate the deposit of cash and checks with Controller
- Input and reconcile credit card transactions
- Communicates with families about payments, missed payments, and payment schedules. Works on collecting past due accounts.
- Assist with yearly audit
- Other duties as assigned by the Head of School, CFO, and Controller
- Associates Degree or higher in accounting or related field, from an accredited college or university.
- Three to five years of experience in a financial work environment.
- Demonstrated ability in programs and systems for the collection of fees, preferably in the Pre-K to 8 school environment.
- Strong organizational and data management skills.
- Well-developed interpersonal, written, and verbal communication skills, including communicating effectively with all constituents in a school community including parents, students, and co-workers.
- Advanced facility with computer technology and software, including Google Suite and Microsoft Excel.
- Adaptability, honesty, self-reliance, teamwork, dependability, flexibility, willingness to listen and learn, work ethic, determination, persistence, problem-solving, and loyalty are essential; ability to manage a fast-paced, dynamic work environment.
- Experience with Blackbaud Systems
- Ability to pass a background check including drug and alcohol tests.
