What are the responsibilities and job description for the GVO Care Associate position at Gunnison Valley Health?
This position coordinates the patient flow and documentation for the clinic. Key responsibilities include: Reception and Check Out, Phone Support, Scheduling, and Payment Collection. This position is a highly visible, public relations position with significant customer contact. The position may follow documented procedures to support posting payments and adjustments to patient accounts, secondary insurance claims for government and commercial payers.
Position Qualifications
Education: High School Diploma or equivalent
Experience: Experience or training in a healthcare office setting, customer relations, and telephone etiquette. One year work experience in customer service required, healthcare front office preferred. The position requires customer service, interpersonal communication skills, and the ability to work cooperatively with other employees, other departments and the public. Ability to handle multiple tasks simultaneously, prioritize work and meet deadlines and concentrate in a busy environment is required. Ability to use common computer system and business software is necessary.
Essential Functions:
- Maintains a friendly, kind, empathetic, and welcoming attitude toward all patients. “Red Carpet” regardless of the circumstance.
- Obtains current paperwork and information for all incoming new patients and updates all existing patient information
- Responsible for scanning in paperwork and properly labeling for future reference any and all information obtained from patients.
- Obtains required co-pays, payment on account, and payment for any DME, and dispensed medications
- Coordinates with biller regarding any payment, billing, or invoicing issues and questions.
- Responsible for answering incoming calls, scheduling patients for future appointments, follow up appointments, and any other questions the patients may have.
- Communicates with physical therapy offices to help coordinate patient’s therapy needs.
- Rooms patients and pulls up any radiology that will be reviewed during visit. Also prepares patient for exam, ie. supplies shorts etc.
- Willingness to help any patient with maneuvering doors, stairs, chairs etc. when patient is not able to ambulate on their own safely.
- Responds to all incoming e-mails regarding patient questions, concerns, requests, and filters any other e-mails that require response.
- Clears online and paper incoming faxes several times per day and processes all documents that are downloaded.
- Orders office supplies and ensures proper stocking levels
- Assists with rotating medications and injectables, including expiration dates
- Provides patient education and training based on each patient's needs and abilities under the direction of Physician and/or Medical Assistant
- Responsible for forwarding all Work Comp forms, visit notes, and preauthorization requests to appropriate Work Comp organizations. Coordinates with Work Comp companies to obtain authorizations for necessary radiology, and surgery.
- Maintains, cleans, and organizes the front and back-office environments. Keeps all front office supplies stocked and ready for clinic. Responsible for emptying trash at end of day, sweeps as needed, and takes trash and cardboard out to dumpster
- Coordinates with providers regarding desired scheduling, and manages patient paperwork and records that provider may require for any upcoming office visit.
- Obtains and enters into EMR system all ER consults and emergency surgeries, as well as scheduled surgeries for billing purposes.
- Willingness to work with team and cover for any member of team that needs additional help during clinic in any capacity, ie. help with authorizations, clean an exam room, help with the surgery book coordination, communicate with the operating room, etc.

Status - Full Time
Compensation: $18.00 - $22.05/hr, depending on experience.
