Receptionists are responsible for answering incoming calls, directing calls to appropriate personnel, returning calls and addressing questions in a timely manner; scheduling patients following medical practice procedures; greeting and checking in patients for appointments including obtaining any required consents and/or paperwork, scanning insurance cards, entering accurate demographic information into the electronic medical record, and collecting and posting payments; scanning outside records into patients chart; and working closely with providers, clinical staff, and management to maintain efficient daily operation of the clinics.

Essential Duties & Responsibilities:

  • Greet all patients/visitors with eye contact, a smile, and a friendly and helpful attitude.
  • Communicate information about delays to patients.
  • Schedule appointments in EMR according to practice requirements and provider preferences.
  • Document patient portal and phone messages in EMR and route to appropriate personnel for follow-up as needed or required.
  • Prepare end of the day reports and daily deposits.
  • Label and scan appropriate documents into EMR, according to established guidelines.
  • Arrange patient appointments and reports for physicians and advanced practice providers. Communicates with clinical staff or providers regarding any patient not able to be worked into the provider’s schedule.
  • Track physician time off and keep Clinic Manager informed.
  • Answer incoming telephone calls in a timely matter using proper etiquette at all times and route messages to personnel for follow up.
  • Consistently obtain accurate insurance and billing information for each patient.
  • Register new patients by entering accurate information in the patient registration, demographics, insurance, and encounter sections of the EMR.
  • Verify patient’s insurance status utilizing Passport and collect copayments.
  • Scan patient driver’s license and insurance card into electronic medical record while verifying accuracy of information.
  • Obtain electronic Consent for Treatment at each annual patient visit upon registration and scan pertinent HIPAA and Financial Policy documents into the electronic medical record.
  • Run daily schedules for the following day appointments in preparation for EMR downtime.
  • Assist billing staff with insurance follow-up as needed.
  • Balance daily payment posting and prepare deposits according to policy.
  • Perform appointment reminder calls according to clinic operations and provider expectations.
  • Work daily automated appointment reminder report(s) to support no-show/last minute cancellation goals of the provider/organization.
  • Complete and submit the month-end provider productivity report.
  • Check the patient’s financial status at the practice to avoid making routine appointments for patients in collections or dismissed from the practice.
  • Communicate the practice’s requirements for pre-authorizations, referrals, and payment at the time of service to patients who are making appointment.
  • Comply with federal, state, and local legal requirements by studying existing and new legislation, anticipating legislation, enforcing adherence to requirements, advising management on needed actions, and ensuring compliance with Joint Commission and other external and internal regulatory agencies.
  • Maintains the integrity of confidential patient inf ormation in accordance with HIPAA regulations and hospital policy, including accessing, using and disclosing patient information relevant to the individual employee’s job duties.
  • Maintain confidentiality of customer and hospital business affairs.
  • Adhere to the standards of Magruder Hospital’s cor porate compliance policies, seek guidance and training when necessary to resolve questions about the policies, and reports violations in accordance with corporate compliance and organizational standards.
  • Attendance is an essential function of this position. Report to work on time and as scheduled, and show respect to co-workers by following established break times. Keep personal conversations and telephone calls to a minimum.
  • Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.
