Job Summary:
The Senior Administrative Assistant primarily supports multiple VP-level leaders in administrative functions. This role requires managing schedules, coordinating meetings, travel, and communication for leadership while maintaining professional relationships with both internal and external stakeholders.
Key Responsibilities:
- Schedule meetings, conference calls, and webinars (internal and external).
- Maintain Outlook calendars and email for executives.
- Prepare correspondence, charts, schedules, and presentation materials.
- Coordinate travel arrangements and process travel expense reports via Concur.
- Handle confidential operational files for the Executive Team.
- Assist with coordinating and updating information on the division website.
- Manage the schedule of conference rooms and order supplies as needed.
- Provide support for additional office projects as needed, including cross-coverage for administrative staff.
Experience:
- 2 years of secretarial experience required; healthcare experience preferred.
- Strong computer skills, including proficiency in Microsoft Office Suite.
- Executive presence and ability to effectively interact with stakeholders.
Education:
- High school diploma or equivalent required.
Certification/License:
- Notary certification preferred.
Skills & Abilities:
- Knowledge of organizational policies and office management.
- Strong written and verbal communication skills.
