Job Summary
Hackbarth Delivery Service (HDS) is seeking a Risk Management Coordinator – DOT/Safety Coordinator to support, train, and enhance the HDS Risk Management program. This role is responsible for key areas, including safety, security, loss prevention, claims administration, and DOT/Fleet Services compliance, with a primary focus on DOT/FMCSA regulations and fleet compliance.
Under general direction, this position will develop and implement a comprehensive safety and compliance program to reduce risk, prevent losses, and ensure regulatory compliance across all HDS departments. The ideal candidate is passionate about continual learning and improving the integration of DOT/FMCSA compliance throughout HDS operations. Reporting to the Corporate Risk Manager, this role requires a proactive approach to promoting a strong safety culture across the organization.
Proficiency in Office 365 and the ability to quickly learn new technological systems is essential.
Essential Duties & Responsibilities
- Safety & Compliance Monitoring:
- Analyze safety data from terminal safety assessments, dashboards, accident/injury logs, compliance logs, FMCSA portals, and other sources.
- Conduct terminal safety assessments, provide feedback to terminal leadership, and complete final reporting.
- Driver Training & Certification:
- Obtain and maintain Smith System Driver Trainer status to certify employees and independent contractor (IC) drivers, including refresher courses.
- Monitor each terminal’s Smith System compliance and recommend improvements.
- Identify driver training needs and implement solutions.
- Conduct field training exercises, including DVIR inspections, Samsara installations, forklift safety, OSHA requirements, straight truck backing, and height clearance training.
- DOT/FMCSA Compliance Management:
- Work with HR, TSS (vendor), and the Corporate Risk Manager to ensure compliance with DOT/FMCSA clearinghouse, medical card evaluations, and hours-of-service regulations.
- Track and update driver key dates, notify terminals of expirations, and coordinate updates in Xcelerator.
- Monitor and resolve DOT/FMCSA logging issues, hours-of-service violations, and compliance concerns.
- Conduct Pre-Employment Screening Program (PSP) checks through the FMCSA database.
- Track and review CSA scores, roadside inspections, and citations via the FMCSA Portal.
- Samsara Program Coordination:
- Serve as the Samsara Program Coordinator, overseeing coaching effectiveness and compliance.
- Understand and analyze Samsara reports to improve driver safety performance.
- Evaluate coaching effectiveness and provide training for coaches and drivers in the field.
- Fleet & Risk Management Support:
- Review driver DVIR checklists in Samsara for vehicle deficiencies and compliance.
- Track and review IFTA tax assessments, ensuring accuracy and avoiding overages in coordination with accounting.
- Assist the Corporate Risk Manager in developing and promoting a companywide transportation safety program based on accident analysis, regulatory requirements, safety assessments, and driver observations.
- Evaluate driver behavior using Samsara driver scores, inspections, audits, and violations to recommend and implement remedial training.
- Communication & Support:
- Distribute safety literature and equipment to terminals as needed.
- Collaborate with the Learning & Development (L&D) Manager on DOT and driver training initiatives.
- Participate in bi-weekly safety calls, claims calls, manager meetings, and other scheduled/unplanned conference calls.
- Provide operational support as needed, including assisting terminals during morning sorts, delivering products, and handling other tasks that improve company operations.
Qualifications
- Bachelor’s degree in related field (Safety, Transportation, Logistics, Business, etc.) is preferred.
- Minimum of 2 years of experience in Safety, Fleet Services, or Logistics and Transportation Management.
- Knowledge and understanding of OSHA regulations, FMCSA/DOT regulations and local, state and federal laws and regulations, applicable to company services.
- Understanding of the insurance claims process and ability to coordinate with internal and external insurance agents and brokers.
- Knowledge and understanding of various accident investigative techniques and root cause analysis methods.
- Knowledge of transportation/courier operations.
- Knowledge of and demonstrated experience with enterprise software system
- Highly organized, detail oriented
- Access to reliable transportation. If driving an automobile while on company business, must possess a valid driver’s license in state of residence and auto insurance. Must be able to pass a background check, MVR, and drug screen

- Frequently (50% of time) required to use specific vision abilities, including close vision, color vision, and depth perception.
- Frequently (50% of time) exposed to moving mechanical equipment and airborne particles, working in a warehouse environment with moderate noise levels.
- Frequently (50% of time) required to travel throughout the region and occasionally to Hackbarth’s sites outside the region.
- Occasionally (less than 25% of time) required to work weekends and/or overtime, primarily during start-ups or new business transitions.
