Responsibilties
A day in the life of a Unit Secretary at Hackensack Meridian Health includes:
- Transcribes and transmits doctor’s orders to appropriate areas under supervision of a registered nurse, and confers with the charge nurse and/or nurse assigned to patient regarding scheduling patients activities and tests
- Follows up consistently on written and oral instructions; promptly reports matters requiring immediate nursing intervention
- Performs clerical functions for physicians within the Unit Secretary’s sphere of responsibility.
- Answers telephone and call light systems, takes messages, and communicates messages to the appropriate person in a timely manner
- Answers call bells in a timely and appropriate manner, ensures proper notification of staff, prepares and keeps current census sheet, acuity sheets, transportation log, dietary requisitions and other forms and delivers them to the proper department as necessary
- Performs clerical duties related to the admission and discharge of patients and obtaining medical records from other facilities
- Compiles new charts, maintains current charts, and enters patient information on the charts and computers
- Replenishes charts with MD order sheets, progress notes, consult sheets, and other sheets as necessary making sure that all sheets have patient identification stickers.
- Places telemetry sticker in progress notes for all patients on telemetry on a daily basis
- Performs all patient record activities and charting transcriptions with close attention to detail and accuracy. Ensures that complete information is filled in on all forms (requisitions, transfers, work orders, dietary requisitions etc.); keeps current census sheets. Delivers completed forms to the proper departments as necessary
- Routinely files printouts under appropriate corresponding dividers.
- Adheres to the current HIPAA regulations concerning patient and employee confidentiality.
- Provides for patient/employee privacy, safeguards all medical information.
- Maintains emergency charts for use in downtime.
- Maintains patient charts, makes sure that format of charts are maintained to ensure complete and accurate information in order to facilitate patient follow-up. Ensures that all are complete, accurate and up to date for all patients
- Discharges patients from the computer system in a timely fashion. Disassembles all charts of discharged patients within the same shift that the patient was discharged from the hospital and placed in a designated area.
- Maintains a neat and tidy work environment. Keeps noise to a minimum. Secures all patient records and other documents as necessary. Ensures computers, fax machines, copiers, scanners and other equipment in the unit are working appropriately. Calls for equipment repair as needed.
- Ensures delivery of excellent customer service resulting in positive and improving patient satisfaction scores for department and Medical Center
Education, Knowledge, Skills and Abilities Required:
- High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
- Computer competence
- Minimum of six months clerical experience preferred.
