SUMMARY STATEMENT
The College Advancement Coordinator is responsible for managing various aspects of development and communications to support the College's fundraising efforts. The coordinator is also involved with supporting alumni relations, preparing event materials, and ensuring timely acknowledgment of donations. The coordinator manages grant-related paperwork, compliance, and communications with both internal departments and external funders. The “visible” position serves as the first point of contact for the College Advancement office, providing excellent customer service to students, donors, and other stakeholders, and supervises student workers while handling other assigned tasks.

EDUCATION AND EXPERIENCE
Bachelor’s degree required; education/experience to equal a minimum of three years successful related work experience.
Skills And Abilities
Proficient skills in computer applications, including Microsoft Word, Access, Excel, and PowerPoint, as well as Adobe Acrobat; ability to communicate effectively both orally and in writing; ability to maintain confidentiality; good organizational skills; ability to work independently; ability to deal tactfully and effectively with administrators, staff, and members of the community in person, by phone, and by e-mail.
WORKING ENVIRONMENT
Normal office environment with frequent “walk-in” and telephone interruptions. Some weekends/evenings required.

ORGANIZATIONAL RELATIONSHIPS
- The coordinator reports directly to the Director of Grants Development, with dotted line responsibility to the Senior Director of College Advancement.
- This position is responsible for supervising student workers.
- The coordinator works most closely with the Director of Grants Development, the Senior Director of College Advancement, the Operations Coordinator, the Development Coordinator, and the Alumni Relations Coordinator.
- Fundraising & Advancement Communications
- Manage the stewardship calendar and stewardship activities and logistics (i.e. generate birthday card reports, identify scheduling conflicts, etc.);
- Identify and cultivate relationships with prospective and current donors to enhance engagement and move them through the donor pipeline;
- Coordinate development communications strategies and timelines. Manage “Hawk Happenings”, production of The Advisor, and development of the annual communications plan; coordinate marketing strategy internally and with the College’s Office of Public Relations for the advancement office;
- Act as “point of contact” for event RSVPs, attendees, vendors;
- Assist with coordinating annual funding campaigns as needed;
- Assist with Alumni Relations activities, particularly events, as needed;
- Attends Foundation Board meetings and serves as an ex officio member of various committees (Resource Development, Board Development, Tribute, Scholarship) for the Foundation. Responsible for recording minutes and attendance;
- Responsible for preparing and mailing tax receipts/acknowledgment letters in a timely manner;
- Prepares event invitations, programs, and other printed/digital materials for events;
- Serve as the first point of contact for the College Advancement office, greeting walk-ins, answering front-line calls, and providing exceptional customer service to students, donors, volunteers, staff, and other constituents.
- Institutional Relationships/Grants Compliance
- Prepares, organizes, and submits a variety of college-related paperwork related to grant submission and management, grant files and other documents;
- Attends grant-related meetings and prepares Grant Summaries and Goals, Objectives and Outcomes sheets. Prepares minutes and other documents for meetings;
- Assists with topic-based research related to grant development;
- Maintains internal grants database, as well as lists of passwords needed for access to grant-related portals, websites needed for grant administration, internal grant databases and private foundations;
- Internal Communications: Communicates with various campus departments and divisions regarding grant administration and status updates. External Communications: Keeps funders apprised of grant outcomes and deliverables;
- Assists with events and projects coordinated with other entities involved in grants work; and
- Assists with grant-travel arrangements and ensures timely reimbursement of expenditures as needed.
- Other Duties
- Oversees and directly supervises College Advancement student workers.
- Performs other duties as assigned.
